Position Overview:
This is not a traditional administrative assistant role. We're looking for a trusted partner who can seamlessly support executive leadership in both business and limited personal administrative matters. The Executive Assistant provides high-level administrative and organizational support to the Chief Executive Officer (CEO), Chief Operating Officer (COO), and other members of executive leadership, as assigned. This position is responsible for managing complex schedules, coordinating meetings and travel, facilitating communications, preparing documents, and supporting a variety of business and administrative initiatives across multiple companies.
This role requires exceptional organization, professionalism, discretion, and the ability to anticipate executive needs while handling highly confidential business and personal information. The Executive Assistant will also provide limited personal administrative support to executives, helping maximize leadership efficiency and organizational effectiveness.
This position supports executive leadership across Launch Fulfillment and its affiliated companies and requires the ability to effectively prioritize competing demands across multiple business entities. Frequent local travel is required to support executive and business needs, making flexibility, reliability, and strong organizational skills essential.
Key Responsibilities:
- Manage complex calendars for executive leadership, including scheduling meetings, resolving conflicts, and coordinating priorities across multiple companies.
- Monitor executive email accounts, prioritize communications, draft responses, and ensure timely follow-up on action items.
- Coordinate domestic and international travel arrangements, including flights, hotels, transportation, itineraries, and expense documentation.
- Prepare meeting agendas, presentations, reports, correspondence, and other executive-level documents.
- Coordinate internal and external meetings, including conference room scheduling, video conferences, and meeting logistics.
- Track assignments, deadlines, and follow-up items to ensure projects remain on schedule.
- Serve as a liaison between executives, employees, clients, vendors, and external business partners.
- Assist with vendor coordination, contract routing, document management, and administrative projects.
- Provide administrative support for approved personal scheduling, appointments, reservations, travel arrangements, and other executive-related tasks as assigned.
- Coordinate occasional business events, executive meetings, and company functions.
- Maintain accurate electronic records and filing systems.
- Maintain the highest level of confidentiality and professionalism when handling sensitive company, employee, financial, legal, client, and executive information.
- Perform other administrative duties and special projects as assigned.
Skills & Qualifications:
- High school diploma or equivalent required; Associate's or Bachelor's degree preferred.
- Minimum three (3) years of executive assistant, administrative assistant, office management, or comparable professional experience.
- Experience supporting senior executives preferred.
- Exceptional organizational and time management skills with strong attention to detail.
- Excellent written and verbal communication skills.
- Demonstrated ability to prioritize multiple assignments in a fast-paced environment.
- Strong problem-solving skills and ability to exercise sound independent judgment.
- High level of professionalism, discretion, and integrity.
- Proficiency with Microsoft Office Suite and Google Workspace.
- Experience coordinating travel arrangements, executive calendars, and confidential correspondence.
- Valid driver's license with a driving record that meets the Company's insurability requirements.
- Reliable transportation for occasional local travel, meetings, errands, and other business needs.
- Ability to maintain confidentiality regarding company, employee, client, financial, and personal information.

Physical & Work Requirements:
- Primarily office-based work involving extended computer use.
- Ability to sit, stand, walk, and move throughout the workday.
- Ability to occasionally lift and carry up to 20 pounds.
- Ability to regularly travel locally to meetings, appointments, vendors, airports, or other business-related locations as assigned.
- Valid driver's license with a driving record that meets the Company's insurability requirements.
- Reliable personal transportation available for regular business-related travel.
- Ability to maintain regular attendance and work a flexible schedule based on business needs.

Schedule:
