Overview
The Receptionist/Marketing Assistant is a key member of the Firm’s administrative team and serves as the first point of contact for callers, clients, and visitors while also providing marketing assistance to the Firm and its attorneys. This position plays an important role in maintaining smooth day-to-day office operations and supporting business development in a professional office environment.
The ideal candidate is professional, dependable, detail-oriented, proactive, and enjoys working in a collaborative office setting where organization, communication, and client service are highly valued.
Duties
- Provide professional reception and client service support
- Coordinate conference rooms, meetings, deliveries, catering, and other daily office operations to support a well-run and welcoming office
- Assist with administrative and office services functions, including document handling, filing, scanning, copying, printing, and maintaining internal resources
- Support office organization, supplies, facilities coordination, and general operational needs across the Firm
- Support the Firm’s marketing and business development efforts through client events, digital communications, and branding initiatives
- Assist with coordinating events, sponsorships, tickets, promotional products, email campaigns, social media content, and other marketing materials
- Help maintain Firm website, attorney biographies, CRM/contact databases, and mailing lists
- Collaborate with attorneys and staff on special projects and client-facing materials while gaining exposure to professional services marketing in a law firm environment
- Assist attorneys and staff with administrative projects and day-to-day support tasks as needed
- Contribute to a positive, collaborative, and service-oriented office culture
Qualifications
- Degree in marketing or related field, or commensurate experience
- Receptionist or other customer service or administrative experience
- Professional communication skills and a customer service orientation
- Basic proficiency in Microsoft Office, including Word, Excel, and Outlook
- Ability to handle confidential and sensitive information with professionalism, discretion, and sound judgment
- Adaptability and ability to problem-solve and handle situations with a calm and resourceful approach
- Comfort with light cleaning tasks and event setup and cleanup
Preferred Qualifications
- Law firm or other professional service industry experience
- Familiarity with legal terminology and law firm procedures
- Event planning and coordination experience
