Job Summary
We are seeking a highly organized and proactive Office Manager to oversee daily administrative operations for a busy construction company. This role plays a key part in supporting project managers, field staff, and leadership to ensure projects and office operations run efficiently. The ideal candidate will have strong organizational and communication skills, experience managing office processes, and the ability to coordinate schedules, documentation, and vendor relationships in a fast-paced construction environment.
Duties
- Oversee daily office operations and ensure smooth administrative support for construction projects and office staff
- Manage calendars, meetings, and schedules for leadership, project managers, and field personnel
- Support project coordination including maintaining project files, permits, contracts, and documentation
- Assist with job tracking, project timelines, and communication between office staff, field crews, subcontractors, and vendors
- Handle vendor and subcontractor coordination including maintaining relationships, processing paperwork, and assisting with purchase orders
- Support bookkeeping functions including invoicing, payroll coordination, and expense tracking using or similar software
- Maintain organized digital and physical filing systems for contracts, project documents, and compliance records
- Manage front desk operations including answering multi-line phones, greeting visitors, and directing calls professionally
- Assist with employee onboarding, maintaining personnel records, and supporting general HR functions
- Coordinate office supplies, equipment, and general office needs
- Support clerical tasks including data entry, correspondence, and report preparation
- Ensure company policies, safety documentation, and administrative procedures are followed
Requirements
- Previous office management or administrative experience, preferably in construction, contracting, or a related industry
- Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment
- Excellent written and verbal communication skills with professional phone etiquette
- Proficiency in , Microsoft Office (Word, Excel, Outlook), and scheduling software
- Experience with vendor coordination, subcontractor documentation, invoicing, or project support is preferred
- Ability to work effectively with both office staff and field personnel
- Strong attention to detail and ability to maintain organized records and documentation
- Ability to handle confidential information with professionalism and discretion
Pay: Up to $27.00 per hour
