The Service Bureau serves as the central point of contact for software management, EFIN support, compliance, training, technical assistance, and operational guidance to ensure offices operate efficiently during and outside the tax season.

Job Summary
The Service Bureau Coordinator is responsible for supporting tax offices by providing software assistance, onboarding new tax professionals, ensuring IRS compliance, managing office operations, coordinating training, and delivering exceptional customer service. This role helps tax preparers maximize efficiency, maintain compliance, and provide high-quality service to their clients.
Duties and ResponsibilitiesTax Office Support
- Serve as the primary point of contact for affiliated tax offices.
- Assist tax preparers with onboarding and office setup.
- Provide guidance on tax software installation and configuration.
- Troubleshoot software and system issues.
- Monitor office performance throughout the tax season.
- Coordinate communication between the Service Bureau and tax offices.
Compliance Management
- Ensure offices comply with IRS regulations and Service Bureau policies.
- Verify EFIN, PTIN, and required business documentation.
- Assist offices with compliance requirements and renewals.
- Maintain confidential taxpayer information in accordance with IRS Publication 4557 and applicable privacy regulations.
- Monitor adherence to security protocols and best practices.
Client & Office Onboarding
- Process new office applications.
- Assist with EFIN registration and verification.
- Support business registration and setup.
- Collect and organize required documentation.
- Maintain accurate office records.
Training & Development
- Schedule and coordinate tax training sessions.
- Conduct onboarding orientations for new offices.
- Provide instructional materials and operational guides.
- Support continuing education initiatives.
- Answer procedural and technical questions.
Technical Support
- Provide first-level support for tax software.
- Assist with login, password, and account issues.
- Escalate complex technical issues when necessary.
- Coordinate with software vendors to resolve system-related concerns.
- Monitor software updates and communicate changes to offices.
Administrative Support
- Maintain accurate records and documentation.
- Generate operational and performance reports.
- Track office productivity and filing activity.
- Manage calendars, appointments, and meetings.
- Prepare correspondence and internal communications.
Customer Service
- Respond promptly to phone calls, emails, and messages.
- Resolve office concerns professionally and efficiently.
- Build strong relationships with affiliated tax professionals.
- Follow up on outstanding issues until resolution.
Business Development
- Recruit new tax offices to join the Service Bureau.
- Support marketing initiatives and informational events.
- Maintain relationships with current affiliates.
- Identify opportunities to improve office performance and growth.
Operational Management
- Coordinate daily Service Bureau activities.
- Monitor filing volume and operational performance.
- Develop and improve operational procedures.
- Ensure deadlines are met during tax season.
- Assist leadership with strategic planning and workflow improvements.
Qualifications
- High school diploma required; associate's or bachelor's degree preferred.
- Experience in tax preparation, bookkeeping, accounting, or office administration preferred.
- Knowledge of IRS regulations, EFIN, PTIN, and tax office operations.
- Experience with professional tax software (e.g., CrossLink, TaxSlayer Pro, Drake, TaxWise, or similar).
- Strong organizational and time-management skills.
- Excellent written and verbal communication skills.
- Proficiency with Microsoft Office Suite and Google Workspace.
- Ability to manage multiple priorities in a fast-paced environment.
- Strong problem-solving and customer service skills.
