Duties

- Answer multi-line phone systems promptly, directing calls accurately and courteously.
- Manage appointment scheduling and calendar coordination using office management software.
- Perform data entry tasks with high accuracy, maintaining organized records in spreadsheets and databases.
- Handle incoming and outgoing correspondence, including emails, mail, and packages.
- Maintain filing systems, update client information, and ensure all documentation is properly stored.
- Support office management activities such as supply inventory, basic bookkeeping with QuickBooks, and document proofreading.
- Utilize Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools for daily tasks.
- Assist with clerical duties like copying, scanning, faxing, and preparing reports or presentations.
- Provide excellent customer support through phone communication and in-person interactions while practicing proper phone etiquette.
Skills
- Proven experience in office administration or reception roles with strong organizational skills.
- Proficiency in Microsoft Office (Word, Excel), Google Workspace (Docs, Sheets), and productivity software.
- Excellent computer literacy with the ability to learn new software quickly.
- Strong typing skills with attention to detail for proofreading and data entry accuracy.
- Experience handling multi-line phone systems and providing exceptional customer service.
- Bilingual abilities are highly desirable to serve diverse client needs effectively.
- Knowledge of office management procedures including filing systems, calendar management, and record keeping.
- Familiarity with QuickBooks for bookkeeping tasks is a plus.
- Ability to manage time efficiently while juggling multiple responsibilities in a fast-paced environment.
- Strong communication skills—both verbal and written—with professional phone etiquette.
- Experience working as a front desk or medical/dental receptionist is advantageous.
- Personal assistant experience or administrative support background enhances your suitability for this role.
