Job Overview
We are seeking a dynamic and highly organized Office Manager/Bookkeeper to join our team! This vital role combines administrative leadership with financial oversight, ensuring the smooth operation of daily office functions while maintaining accurate financial records. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills to support both internal teams and external clients. Responsibilities
- Oversee daily office operations, including managing multi-line phone systems, front desk duties, and general administrative support.
- Maintain and update financial records using Talon & Lightspeed Dealer Management systems, including invoicing, expense tracking, and bank reconciliations.
- Handle data entry tasks with precision, ensuring all client and vendor information is current and accurate.
- Manage office flows and coordinate maintenance or repairs as needed for both buildings.
- Run payroll using ADP Run for all employees
- Add/enter new hires into ADP and any systems they will need for their position/ remove/inactivate employees who have left from systems & any policies.
- Schedule health insurance meetings with brokers for open enrollment, review all health insurance options to ensure employees have diversified options for their individual needs.
- Prepare reports, spreadsheets, and documents for owner review & for end of year tax filing.
- Support organizational efficiency through effective time management and assisting with other administrative duties when required.
Qualifications
- Proven experience in office management or administrative roles with a strong background in clerical tasks.
- Proficiency in some sort of accounting software and Microsoft Office productivity tools (Word, Excel) as well as Google Drive items.
- Excellent computer literacy with a focus on data entry, spreadsheets, word processing, and technical proficiency.
- Strong organizational skills with the ability to multitask efficiently in a fast-paced environment.
- Exceptional phone etiquette and customer service skills; experience managing multi-line phone systems is preferred.
- Bilingual abilities are a plus to support diverse client interactions.
- Previous experience in bookkeeping or financial recordkeeping is highly desirable.
