Nutritional Pharmacy Coordinator

Position Summary
Born Clinic is seeking a full-time Nutritional Pharmacy Coordinator to oversee the daily operations of our Nutritional Pharmacy while serving as a trusted educational resource for our patients, Providers, and staff.
This unique role combines patient education, inventory and purchasing management, vendor coordination, and Nutritional Pharmacy operations. The Nutritional Pharmacy Coordinator helps patients understand provider-recommended supplement protocols, assists with product selection and general supplement education, oversees purchasing and inventory, supports the clinic's e-commerce platform, and helps ensure an exceptional patient experience.

Responsibilities:
Patient Education & Supplement Support
- Educate patients on provider-recommended nutritional supplements.
- Explain supplement protocols, dosing schedules, product usage, and general supplement information.
- Answer patient questions regarding nutritional supplements while appropriately referring medical or treatment-related questions to Providers.
- Serve as a knowledgeable resource for patients, Providers, and staff regarding professional-grade nutritional supplements.
- Develop and maintain advanced knowledge of the clinic's professional-grade supplement lines to confidently educate patients and support Providers and staff.
Nutritional Pharmacy Operations
- Oversee the day-to-day operations of the Nutritional Pharmacy.
- Fulfill and dispense nutritional supplement orders accurately and efficiently.
- Process phone and in-person supplement orders.
- Provide exceptional customer service in person and over the phone.
- Accurately process payments, discounts, fee tickets, and cash drawer reconciliation.
- Enter and maintain accurate patient information, charges, payments, and supplement orders within the electronic health record (EHR), pharmacy software, and e-commerce platform.
- Maintain and update the clinic's online supplement store.
- Process shipping and order fulfillment across multiple sales channels.
- Receive inventory, stock products, rotate inventory, perform inventory counts, and maintain an organized Nutritional Pharmacy.
- Manage the ordering and purchasing of nutritional supplement inventory to maintain appropriate stock levels.
- Communicate with supplement vendors regarding product availability, backorders, pricing, new products, and shipping.
- Monitor inventory trends and make recommendations regarding purchasing, product selection, and inventory management.
- Maintain accurate inventory records and assist with resolving inventory discrepancies.
- Collaborate with management to identify opportunities for new products, improve pharmacy operations, and enhance the patient experience.
Administrative & Department Support
- Maintain accurate patient records while ensuring compliance with HIPAA and clinic confidentiality standards.
- Update medication and supplement lists as appropriate.
- Communicate professionally and promptly with patients and staff through phone, Microsoft Teams, email, and patient portal messaging.
- Assist Providers and staff with supplement-related educational questions.
- Assist other departments during periods of increased operational need.
- Perform additional duties as assigned.
Preferred Qualifications:
- Education or certification in Nutrition, Health Sciences, Integrative Health, Business, Healthcare Administration, or a related field preferred.
- Experience in functional medicine, integrative healthcare, wellness, nutritional supplements, inventory management, or healthcare preferred.
- Passion for nutrition, wellness, and patient education.
- Strong knowledge of nutritional supplements or a willingness to develop advanced knowledge through on-the-job training.
- Experience with purchasing, inventory management, or vendor relations is preferred.
- Excellent communication and interpersonal skills with the ability to educate patients in a compassionate, easy-to-understand manner.
- Outstanding customer service skills and a positive, team-oriented attitude.
- Strong organizational, time management, and problem-solving skills with exceptional attention to detail.
- Ability to multitask and prioritize responsibilities in a fast-paced clinical environment.
- Comfortable learning new software systems and proficient with Microsoft Office, including Excel.
- Ability to lift and move boxes weighing up to 30–40 pounds.
- Full-time availability Monday through Friday, including participation in the clinic's late-night rotation.
