Front Desk Patient Coordinator

Pay: $50,000–$55,000 per year

The Nelson Center for Plastic and Reconstructive Surgery is seeking a polished, personable, and highly organized Front Desk Patient Coordinator to join our boutique plastic surgery practice.
This is an ideal opportunity for someone who combines the warmth and attentiveness of a luxury hospitality environment with the professionalism, discretion, and attention to detail required in a medical practice.
As one of the first points of contact for our patients, you will help create an exceptional experience from the initial inquiry through ongoing care. The right candidate will be comfortable balancing patient service, front-office responsibilities, scheduling, and prospective patient follow-up while maintaining a polished and welcoming environment.
Key Responsibilities
- Warmly welcome patients and provide a polished, professional front-office experience
- Answer calls, texts, emails, and web inquiries promptly and professionally
- Schedule consultations, treatments, postoperative visits, and other appointments
- Manage appointment confirmations, cancellations, waitlists, and proactively backfill openings
- Assist with patient check-in and check-out and accurately process payments
- Maintain accurate patient demographics, referral sources, appointment information, and lead activity
- Respond to prospective patient inquiries from the practice website, Google Ads, RealSelf, social media, referrals, and other sources
- Build rapport with prospective patients, explain the consultation process and practice value, and confidently guide qualified leads toward scheduling
- Consistently follow up with prospective patients who have not yet scheduled
- Maintain accurate lead tracking, contact attempts, consultation outcomes, and related information
- Develop a strong understanding of the practice’s procedures, pricing framework, consultation process, and frequently asked questions
- Communicate effectively with the surgeon and clinical team to support efficient daily patient flow
- Maintain an organized, welcoming, and professional reception and patient-facing environment
- Assist with general administrative responsibilities and office support as needed
- Maintain strict patient confidentiality and comply with HIPAA and practice policies

Qualifications
- High school diploma or equivalent required; associate’s or bachelor’s degree preferred
- 2+ years of experience in a medical office, plastic surgery, dermatology, med spa, luxury hospitality, or other high-touch customer service environment preferred
- Exceptional interpersonal, telephone, and written communication skills
- Strong service and sales orientation with the ability to build trust and confidently move prospective patients toward consultation
- Highly organized with excellent attention to detail and follow-through
- Comfortable managing multiple priorities while maintaining professionalism and accuracy
- Dependable, punctual, accountable, and receptive to feedback
- Strong computer skills and ability to learn new technology quickly
- EMR experience preferred; Nextech experience is a plus
- Spanish-speaking ability preferred
- QuickBooks experience is a plus
- Ability to handle confidential information with discretion
- Collaborative attitude and willingness to support the team in a small-practice environment
