Responsibilities
- Provide administrative support to licensed insurance agents, including scheduling appointments and managing calendars with precision.
- Handle client inquiries via phone, email, and in person, delivering exceptional customer service with professional phone etiquette.
- Assist with data entry, maintaining accurate records of client information, policy details, and claims using Microsoft Office and Google Workspace tools.
- Manage multi-line phone systems efficiently to direct calls appropriately and respond promptly to client needs.
- Support office management tasks such as filing, document proofreading, and handling confidential information securely.
- Coordinate with clients for policy updates, follow-ups, and document submissions to ensure timely processing.
- Maintain organized office operations by managing supplies, overseeing front desk duties, and supporting bookkeeping activities using QuickBooks.
Experience
- Previous clerical or administrative experience in an office setting is preferred.
- Proven customer service skills with the ability to communicate effectively via phone and in person.
- Familiarity with office management software such as Microsoft Office Suite (Word, Excel), Google Workspace, and QuickBooks is highly desirable.
- Bilingual abilities are a plus to serve diverse client needs effectively.
- Experience handling confidential information with professionalism and discretion.
- Strong organizational skills with the ability to multitask efficiently in a fast-paced environment.
- Personal assistant or office support experience that demonstrates excellent time management and calendar coordination skills.
