Aya Healthcare has an opportunity for an Administrative Coordinator to support a 20-week assignment with a dynamic healthcare facility in Las Vegas, NV.
Assignment Details
- Start: ASAP
- Schedule: 5x8 schedule, onsite, 8:00 AM–5:00 PM
- Pay: $22/hour
- Type: Contract, Onsite

Requirements for Administrative Program Coordinator
- High School Diploma or GED required
- Minimum of two (2) years of experience providing administrative support to physicians and/or providers in a healthcare setting.
Key Responsibilities of Administrative Program Coordinator
The primary areas of focus of this position will be QGenda scheduling support, travel coordination, ordering requests and managing expense reimbursements
Lunch Voucher Coordination
- Manage pre-printed lunch voucher supplies to ensure coverage throughout leave periods.
- Collect prior month’s vouchers at the beginning of each month.
- Receive monthly voucher counts from designated facility contact, and cross-check against submitted vouchers.
- Once validated, assist with invoice workflow after approval and submission to accounts payable team for processing.
BLS Class Support (October)
- Support scheduling activities for the October BLS class.
- Add new attendees as needed and communicate updated participant counts to the instructor.
- Coordinate with the Nurse Manager Assistant throughout the process.
- Scheduling details, attendee instructions, and room reservations will be pre-arranged.
Manager Meeting Support (Bi-Monthly)
- Provide coverage for the October manager meeting only.
- Support room coordination (FEC/conference room) and confirm catering arrangements.
- Confirm food orders prior to meetings.
- Assist with day-of meeting setup (instructions will be provided).
Physician & Provider Administrative Support
- Attend meetings, take meeting minutes and/or transcripts, and maintain documentation.
- Create presentation materials and provide live meeting support, including screen sharing, SWOT facilitation, and presentation coordination.
- Support recurring meetings including:
- Weekly team meetings
- Business reviews
- Quarterly reviews
- Submit and manage QGenda scheduling requests.
- Coordinate provider travel arrangements.
- Process expense reimbursements.
- Support miscellaneous provider requests.
- Process athlete invoicing.
- Order supplies as needed.
