Position Summary
The Community Outreach and Volunteer Coordinator serves as the primary administrator and liaison for the Navy SEAL Museum's volunteer/docent program while supporting community engagement initiatives that advance the Museum's mission. This position is responsible for recruiting, onboarding, training, scheduling, and recognizing volunteers/docents, ensuring adequate staffing for daily operations, tours, programs, and special events. The Coordinator also cultivates relationships with community organizations, veterans groups, schools, civic organizations, and local partners to increase awareness and participation in Museum programs.
The ideal candidate is highly organized, people-oriented, and capable of managing multiple priorities while fostering a positive and professional volunteer and docent experience.
Key Responsibilities
Volunteer and Docent Program Management
Recruit, interview, onboard, and train new volunteers and docents.
Maintain volunteer and docent records, applications, waivers, and training documentation.
Develop and manage volunteer and docent schedules to ensure adequate coverage for Museum operations, tours, educational programs, and special events.
Serve as the primary point of contact for volunteers and docents and address scheduling needs, questions, and concerns.
Communicate regularly with volunteers and docents regarding upcoming events, schedule changes, and Museum updates.
Track volunteer and docent hours and prepare reports as needed.
Coordinate volunteer and docent recognition and appreciation initiatives.
Ensure volunteers and docents understand and adhere to Museum policies, procedures, and customer service standards.
Assist with volunteer and docent retention efforts and foster a welcoming, mission-focused volunteer culture.
Community Outreach
Build and maintain relationships with local schools, veterans organizations, civic groups, chambers of commerce, tourism organizations, and community partners.
Represent the Museum at community events, meetings, and outreach opportunities as assigned.
Coordinate group visits, educational tours, and community engagement programs.
Assist in identifying opportunities to expand volunteer participation and community involvement.
Support Museum membership, educational, and public programming initiatives through community engagement efforts.
Museum Operations Support
Assist with staffing and coordination of Museum special events, ceremonies, educational programs, and fundraising activities.
Welcome visitors and provide exceptional customer service.
Coordinate volunteer and docent assignments for Museum events and daily operations.
Assist with opening and closing procedures as assigned.
Provide guided tours when scheduled.
Support other Museum departments as needed to ensure successful operations.
Open and close the Museum, turn displays on and off, set up and close out the register reconciling cash, secure the building and property at the end of the day.
Administrative Responsibilities
Maintain accurate volunteer and docent databases, schedules, and correspondence.
Prepare volunteer and docent communications, reports, and operational documents.
Monitor volunteer and docent compliance with required training and certifications.
Assist with departmental planning, budgeting, and program evaluation as requested.
Perform other duties as assigned by the Executive Director.
Schedule Requirements
Full-time: 9:00 AM – 4:00 PM, five days/week. This is a full-time, onsite position. This is not remote position. Flexibility to work weekends, holidays, and occasional evening events is required to support Museum operations and special programs.
Qualifications and Skills
Associate's degree or higher preferred; equivalent experience considered.
Minimum two years of experience in volunteer management, nonprofit administration, community engagement, customer service, event coordination, or a related field preferred.
Experience working with volunteers, veterans, nonprofit organizations, or museums is highly desirable.
Excellent interpersonal, communication, and relationship-building skills.
Strong organizational and time-management abilities.
Ability to manage multiple schedules, priorities, and deadlines.
Proficiency in Microsoft Office.
Ability to work independently and collaboratively within a team environment.
Professional demeanor when interacting with volunteers, docent, visitors, donors, and community partners.
Ability to maintain confidentiality and exercise sound judgment.
Physical Requirements
Regularly required to sit, stand, walk, and talk for extended periods.
Frequently required to use hands and arms to operate office equipment and perform administrative tasks.
Occasionally required to lift, carry, or move materials weighing up to 40 pounds.
Ability to assist with event setup, breakdown, and outdoor activities as needed.
Work Environment
Work is performed in a combination of office, museum galleries, event, and outdoor settings.
Moderate noise levels typical of a museum and public attraction environment.
Position requires occasional evening and holiday to support events and volunteer and docent coverage.
This position requires weekend work as needed.
