Position Summary: With guidance from the Director of Operations and Chief of Staff, the
primary goal of the Operations Administrator is to innovate, communicate and maintain
processes and systems that support the operations of the programming team and organization
as a whole.
Reports to: Director of Operations
Position Responsibilities:
Manage and coordinate the on-call system and coverage of all LTYC programs.
- Communicate on-call, time-away and supply order procedures to all new instructors.
- Monitor and execute supply orders for LTYC programs and update records of internal
inventory.
- Support with form creation, filing, data entry and updating of program related forms,
reports, surveys, etc.
- Improve the operational systems, processes and policies in support of the organization’s
mission - specifically: reporting, information flow and management, business process,
organizational planning and record keeping.
- Manage, organize and file all LTYC related programming documents.
- Ensures LTYC programs maintain accurate student records, including attendance and
enrollment.
- Interpret and analyze attendance data for reporting purposes. Administer surveys.
- Support with Staff Recruitment and Retention. Direct instructors to proper leadership for
guidance.
- Recruit on-call and flex instructors.
- Support the programming team in maintaining positive relationships with staff and
partners.
- Retrieve information and complete assignment sheet forms for new programs.
