Position Function Summary
Under the direction of the Front Office Manager, and in cooperation with the Chief Administrative Officer (CAO), the Patient Services Representative II (PSR) greets patients and visitors entering La Familia Medical Center (LFMC), registers new and returning patients, provides patient-related clerical services, which include answering telephones, scheduling, obtaining and reviewing patient demographic/insurance information, collecting payments and obtaining referrals. Schedules, reschedules, and cancels appointments and return appointments for patients over the phone, in person per provider scheduling protocol. Performs duties in a manner that is supportive and responsive to patients and visitors.
Essential Responsibilities
- Greets new and returning patients and clients
- Checks patients in for their appointments
- Greets visitors/vendors to the health center and directs them appropriately
- Provides general information to patients concerning the functions of LFMC
- Collects required personal, health and insurance information from all patients
- Determines insurance eligibility using various portals
- Submits prior Authorizations to insurances as needed
- Ensures accuracy of insurance and billing information
- Accepts cash, checks, or bankcards for payment of fees or cost of goods/services rendered according to established procedures
- Gives change and issues receipts for funds received
- Balances cash drawer against receipts at the end of the day
- Schedules/reschedules/cancels/N/S’s appointments per provider scheduling protocol
- Schedules appointments with Case Workers, Health Ed, GH or other departments within the Clinic.
- Prints appointment card when discharging patient
- Counsels patients who are unable to pay for their visit and arrange a payment plan suitable for the patient and the organization
- Educates program applicants/clients by explaining program requirements, options, interpretations, and determinations
- Follows up with patient during the approval process
- Working knowledge of the Santa Fe County Program (SF-SHC)
- Determines eligibility for the slide by interviewing patient and family members and obtaining required documentation to complete the application
- Assist patient with Medicaid application
- Answers all incoming calls
- Able to train new PSRs
- Proficient in use of company telephone system including answering phones, transferring calls and use of paging system
- Demonstrates computer literacy and capable of operating all office machinery efficiently and accurately
- Provides and collects Dental health records to patients and/or to providers.
- Completes Covid-19 test to unvaccinated and/or symptomatic patients prior to their appointment
- Able to explain Dental treatment plan
- Trains and/or oversees student dental assistants
- Education, Experience and Skills
- High School graduate or equivalent required, and a minimum of one year experience in the area of customer service.
- CPR certification required.
- Fluent in both English and Spanish, required.
- Three (3) weeks of annual leave.
- up to two (2) weeks of annual sick leave
- three (3) paid personal days
