Job Summary: The Professional Relations and Marketing Coordinator (PRMC) plays a key role in growing and strengthening relationships with referring providers and the local healthcare community. This position combines relationship management, marketing, event coordination, and digital communications to support practice growth while ensuring every interaction reflects our commitment to exceptional patient care and service.

Essential Duties:
- Develop and execute the annual professional relations and marketing plan in collaboration with practice leadership and outside marketing partners.
- Researches and develops a specification sheet and/or prototype for holiday gifts, and other marketing initiatives throughout the year.
- Tracks and updates referral records with marketing efforts.
- Monitor referral trends and analyze referral reports to identify growth opportunities and strengthen provider relationships.
- Maintain accurate referral databases, marketing activity logs, and outreach records.
- Build and maintain strong relationships with referring providers and their teams through regular office visits, communication, and follow-up.
- Serve as the primary liaison between the practice and referring offices to promote collaboration and exceptional service.
- Coordinate the ordering, development, and distribution of marketing materials, promotional items, referral pads, business cards, and seasonal appreciation gifts.
- Coordinate and execute study clubs, educational events, community outreach initiatives, and other marketing activities.
- Monitors and updates the practice website and social media platforms, ensuring content—including patient reviews, testimonials, staff photos, and videos—remains current, accurate, and aligned with the practice’s mission and goals.
- Manages and responds to patient and practice reviews received through the website, digital platforms, or written surveys in a timely and compliant manner.
- Represents the practice in accordance with the Mission and Core Values of the doctor(s).

- Marketing and Event Coordination. Skilled in developing, implementing, and tracking marketing initiatives and community engagement programs that strengthen referral relationships and promote practice growth. Ability to plan, organize, and execute educational events, study clubs, and community outreach initiatives with attention to detail, budget, and participant experience.
- Analytical Thinking. Proficient in collecting, reviewing, and interpreting referral and revenue data to identify trends, assess outcomes, and guide strategic marketing decisions.
- Digital Marketing. Working knowledge of websites, social media platforms, online reputation management, photography/video content, and digital marketing best practices.
- Customer Service Orientation. Demonstrates professionalism, patience, and proactive problem-solving in addressing the needs and concerns of referring offices, patients, and staff.
- Organizational Skills. Highly organized with the ability to prioritize multiple projects, manage deadlines, and work independently while maintaining attention to detail.
- Professionalism and Integrity. Maintains confidentiality, exercises sound judgment, demonstrates initiative, and consistently reflects the values and professionalism of the practice.
- Adaptability and Initiative. Comfortable reviewing referral and production reports to identify trends, measure marketing effectiveness, and recommend improvements.
- Office Technology Proficiency. Proficient with Microsoft Office (Word, Excel, Outlook), practice management software, and common digital communication platforms..
Education / Experience:
- High school diploma or equivalent (Associate's or Bachelor's degree in Marketing, Communications, Business, or related field preferred)
- Minimum two years of experience in marketing, business development, customer service, healthcare, or relationship management
- Healthcare or dental experience preferred but not required
Physical and Environmental Requirements:
- May be required to lift up to 50 lbs.
- Moderately active movement throughout the day: sitting, walking, standing, squatting, bending, stooping, reaching, etc.
- Vision: close vision, depth perception, and ability to adjust focus.
- Hearing: able to satisfactorily communicate with patients, doctor, and other staff members to ensure that verbal communication is clearly understood, or a satisfactorily-equivalent method of communication.
- Finger dexterity is needed to access, enter, and retrieve data using a computer keyboard or operate equipment.
- Occasional exposure to toxic or caustic chemicals and radiation when in the office.
- Ability to travel locally for referring office visits and events
- Exposure to hectic, fast-paced, high anxiety environments.
