Salary Range: $40,000 - $50,000 annually

The Mechanical Project Manager Assistant provides administrative and project coordination support to Mechanical Project Managers by assisting with project-related activities from initiation through completion. This role plays a critical part in ensuring project continuity, efficiency, and communication among all stakeholders.
The ideal candidate is highly organized, detail-oriented, and capable of managing multiple priorities in a fast-paced environment while adapting to changing project demands.
Responsibilities include, but are not limited to:

Maintain and ensure the accuracy of project documentation within internal and external systems

Manage and maintain:
- Submittal Logs
-
Request for Information (RFI) Logs
-
Daily Logs
-
Change Order Files and Logs
-
Construction Documentation, including Drawings and Specifications
-
Contract Document Logs (tracking plan/specification issuance dates)
-
Punch List Logs and Files
-
Closeout Documentation Logs
-
Assist the Project Team with creating and updating project schedules
-
Monitor and expedite weekly project reports to ensure accuracy and timely completion
-
Coordinate and communicate effectively with project teams, clients, and field personnel
-
Prepare, assemble, and track required closeout documentation, including:
- Operations & Maintenance (O&M) Manuals
-
As-Built Drawings
-
Attic Stock
-
Warranties
-
Collaborate with vendors, subcontractors, and city/county personnel
-
Coordinate travel arrangements as needed
-
Utilize spreadsheets and tracking tools to monitor budgets, schedules, and project-related data
-
Print, scan, organize, and distribute project documents and drawings
-
Perform additional duties as assigned

Ability to manage multiple projects simultaneously and prioritize workload effectively

Strong ability to meet deadlines in a fast-paced environment
