Position Overview
As our Administrative & Client Services Coordinator, you'll be the organizational heart of our office. You'll manage calendars, coordinate meetings, communicate with travelers, assist with marketing, and ensure every client receives outstanding service before, during, and after their trip.
This position is ideal for someone who enjoys working independently in a quiet office environment while staying connected with clients and supporting a growing business.
**This role is not booking or coordinating travel. This position is specifically coordinating meetings, welcome and info emails, and assisting with coordinator of meetup groups for travelers.
*Onsite position. Not remote.
Responsibilities
- Manage the owner's calendar and schedule using Google Calendar.
- Coordinate meetings, presentations, and group appointments with travelers and tour participants.
- Schedule client consultations and follow-up appointments.
- Maintain client records and track important travel documents, including passports, travel insurance, payments, and trip requirements.
- Communicate with clients by phone, email, and text regarding trip updates, deadlines, and travel information.
- Assist with reservations, itinerary updates, and general tour administration.
- Create and schedule business content for Facebook, Instagram, and other social media platforms.
- Assist with email newsletters and client communications.
- Help promote upcoming tours and encourage repeat travel opportunities.
- Learn and utilize travel booking software and internal systems.
- Provide exceptional customer service while maintaining professionalism and attention to detail.
- Perform general administrative duties to support daily business operations.
Qualifications
We're looking for someone who is:
- Exceptionally organized and detail-oriented.
- Friendly, dependable, and professional.
- Comfortable communicating with clients by phone, email, and text.
- Proficient with Google Workspace (especially Google Calendar, Gmail, and Google Docs).
- Proficient in Microsoft Office, including Word and Excel.
- Comfortable creating and posting content on Facebook, Instagram, and other business social media platforms.
- Able to prioritize multiple projects and deadlines.
- A quick learner who enjoys new technology and software.
- Self-motivated and able to work independently with minimal supervision.
Previous experience in administration, customer service, executive support, travel, hospitality, or office management is preferred but not required.
Compensation
- $20–$25 per hour (based on experience)
- Flexible daytime schedule
- Approximately 15–25 hours per week
- Commission opportunities for tour and travel bookings
- Paid training provided
