JOB SUMMARY:
The Assistant Project Manager will provide administrative support to project management. They will attend project meetings and perform administrative tasks associated with change orders, shop drawing acquisition and review, contact with subcontractors, contract revisions, and material tracking.
ESSENTIAL RESPONSIBILITIES:
- Set up, organize, and maintain the construction project filing system on server
- Enter, update, create, and distribute submittals
- Assemble contract and subcontract routing process, including change orders
- Issue letters of intent for major equipment and subcontractors, including lead times and submittal data
- Process and execute required construction permits
- Create and validate purchase orders and direct owner purchases
- Develop and manage project plan, tracking logs, risks and actions
- Obtain/provide notice of commencements and file notice to owner
- Coordinate and schedule turnover meetings from estimating to operations, assign project numbers, and move files when projects are awarded
- Request and maintain certificates of insurance across all departments
- Assist and backup Project Administrator
MINIMUM AND/OR PREFERRED QUALIFICATIONS:
EDUCATION:
Associate's or bachelor’s degree in construction management, Business Administration, or a related field. Equivalent work experience will be considered in lieu of a degree.
EXPERIENCE:
2–4 years of experience in construction, project management, or administrative support, preferably in a mechanical, electrical, or specialty contracting environment.
CERTIFICATES, LICENSES, REGISTRATIONS:
- OSHA 10 general industry or construction awareness, as the role interfaces with field teams and superintendents, preferred.
- Project Management Professional (PMP) or Certified associate in project management (CAPM) through PMI, preferred
SKILL REQUIREMENTS:
- Superior organizational and time management skills.
- Proven ability to develop project plan, track progress, identify risks and actions
- Must be detail oriented.
- Able to work independently or as part of a team.
- Must possess the ability to multitask.
