We are seeking a detail-oriented and organized full-time Bookkeeper/Office Assistant to manage our company's financial records and support our day-to-day accounting operations. The ideal candidate will have strong bookkeeping experience, excellent organizational skills, and the ability to maintain accurate financial information while meeting deadlines.
Responsibilities
- Maintain accurate financial records and general ledger entries.
- Record accounts payable and accounts receivable transactions.
- Reconcile bank and credit card statements.
- Process invoices, payments, and deposits.
- Prepare monthly financial reports and account reconciliations.
- Assist with payroll processing.
- Maintain vendor and customer records.
- Support budgeting and financial planning activities.
- Prepare documentation for tax filings and audits.
- Ensure compliance with company policies and accounting standards.
- Any other assigned duties related to office administration, such as answering phones, taking work orders, and helping customers on the floor, etc.
Qualifications
- High school diploma or equivalent; Associate's or Bachelor's degree in Accounting, Finance, or a related field preferred.
- Bookkeeping or accounting experience preferred.
- Proficiency with accounting software.
- Strong knowledge of bookkeeping principles and financial reporting.
- Excellent attention to detail and organizational skills.
- Proficiency in Microsoft Excel and Microsoft Office.
- Strong communication and problem-solving abilities.
- Ability to handle confidential financial information with discretion.
Preferred Qualifications
- Experience in payroll processing.
- Knowledge of sales tax and payroll tax requirements.
- Bookkeeping or accounting certification is a plus.

- Support office management tasks such as calendar scheduling, appointment setting, and coordinating meetings using Microsoft Office tools and Google Workspace
- Assist with data entry projects, proofreading documents, and preparing reports or spreadsheets to support business operations
- Provide exceptional customer service by responding promptly to client inquiries via phone or email, maintaining positive communication and support
- Perform general clerical duties including filing, photocopying, scanning, and managing office supplies to ensure a well-organized workspace
Qualifications
- Proven experience in office management or administrative roles with strong organizational skills and attention to detail
- Proficiency in QuickBooks accounting software and Microsoft Office suite (Word, Excel, Outlook) as well as Google Workspace applications
- Excellent computer literacy including data entry, spreadsheet management, word processing, and typing skills
- Prior experience in bookkeeping or financial record keeping is highly desirable
- Strong communication skills with the ability to handle phone interactions professionally; bilingual abilities are a plus
- Familiarity with multi-line phone systems and front desk operations in a professional setting
- Demonstrated ability to manage time effectively while handling multiple priorities in a fast-paced environment
- Experience working as a dental or medical receptionist or personal assistant is advantageous but not required
