Position Overview: We are seeking a versatile, driven, and highly organized Procurement Operations Specialist to join our team. In this hybrid role, you will be the operational backbone of our office, bridging the gap between international procurement, production, sales support, accounting, and warehouse logistics. If you are a self-starter who thrives in a fast-paced environment, enjoys wearing many hats, and can operate with minimal guidance, this role is for you. Key Responsibilities
- Purchasing, Logistics & Production: Oversee all domestic and international purchasing activities to guarantee timely product availability.
- Manage production scheduling: Coordinate daily assembly schedules based on sales orders, part availability, and workflow capacity.
- Verify shipping and freight rates for accuracy, balancing internal costs against customer list pricing.
- Coordinate directly with the accounting department on invoicing, vendor payments, and account management.
- Manage inventory levels for both core products and essential warehouse/shipping supplies.
- RMA & Customer Support: Take ownership of the RMA process: Manage and schedule all Return Merchandise Authorizations (RMAs) from initial customer request to final resolution.
- Track and route returned machinery to production or repair teams, ensuring rapid customer turnaround.
- Distribute incoming customer leads to the sales team and fix order discrepancies.
- Create, update, and maintain new items and product pricing tables in the company CRM.
- Provide tier-1 technical IT support for office technology, hardware, and equipment.
- Office & Team Management: Manage daily office operations to ensure employees are present, productive, and supported.
- Analyze daily workload data to approve or deny additional work hours for hourly employees.
- Evaluate current operational workflows and implement process improvements to help the team meet sales goals.
Core Hard & Technical Skills Required
- Production & Capacity Scheduling: Building and managing production timelines to align assembly output with sales demand.
- Reverse Logistics & RMA Management: Structuring end-to-end return merchandise workflows, diagnostic tracking, and resolution processes.
- Strategic Sourcing: Evaluating domestic and international vendors to ensure optimal product quality, cost, and delivery.
- Data & Cost Analysis: Utilizing spreadsheets to audit freight rates, analyze landing costs, and track pricing structures.
- Inventory & Demand Forecasting: Predicting supply needs to maintain warehouse stock while minimizing overhead costs.
- Technical Software Proficiency: Navigating CRM tools, inventory tracking software, and ERP automation systems.
- Supply Chain & Global Logistics: Tracking international freight forwarding, customs clearance, and domestic carrier schedules.
- Mechanical Comprehension: Ability to understand technical specifications of industrial blower and vacuum equipment.
Core Soft & Operational Skills Required
- Workflow Orchestration: Balancing the timelines of the sales team, production floor, and external freight carriers simultaneously.
- Commercial Negotiation: Resolving vendor pricing disputes, securing favorable terms, and handling shipping delays professionally.
- Supplier Relationship Management (SRM): Building strong partnerships with global vendors to ensure priority production.
- Cross-Functional Communication: Translating needs seamlessly between external vendors and internal sales, production, accounting, and warehouse teams.
- Labor Workload Analysis: Reviewing task backlogs and employee output to make objective, analytical scheduling decisions.
- Problem-Solving & Initiative: Acting as the go-to office troubleshooter to resolve operational bottlenecks without waiting for direction.
- Detail-Oriented Compliance: Auditing purchase orders, processing returns, and maintaining immaculate data entry standards.
Summary of Qualifications
- Experience: 3+ years of experience in operations, purchasing, production scheduling, or corporate office management preferred.
- Education: Degree in supply chain, business administration, or equivalent hands-on experience.
- Traits: A natural multitasker who enjoys "wearing many hats" and thrives in an autonomous environment.
- Billingual: Spanish is a plus.
