Vintage Wine Warehouse, the storage arm of Morrell & Company, is seeking an exceptional professional to fill a dual senior role spanning our two core functions: the secure, white-glove storage of fine wine collections and the inventory engine that drives our auction business. This is the most pivotal position on the warehouse floor.
As Lead Wine Storage Specialist, you are the senior staff member overseeing the day-to-day accuracy of the WineOwners system, mentoring the floor team, and ensuring client collections are received, stored, and released to the highest standards. As Auction Inventory Specialist, you take ownership of consigned wine from the moment it arrives through final fulfillment, handling cataloging, photography, inspection, valuation support, lot creation, and direct communication with both consignees and buyers.
The ideal candidate combines deep wine knowledge with meticulous inventory discipline and the polish to represent the company in high-value client interactions. You will serve as the primary point of continuity on the floor when the Storage & Operations Manager is unavailable.
Inventory & System Management
- Maintain and audit the WineOwners database to ensure inventory records are accurate and up to date.
- Lead all inbound receiving: inspect deliveries, verify against purchase records, process receipts in WineOwners, and assign proper storage locations.
- Execute and document client orders from pick to ship, ensuring accurate allocation in WineOwners.
- Identify and flag inventory discrepancies, condition issues, or mislabeled stock for management review.
Auction Inventory & Consignment Intake
- Receive and process inbound consignment goods, verifying contents against consignment agreements and recording each lot accurately upon arrival.
- Catalog consigned wines with complete, accurate details including producer, vintage, format, quantity, and provenance.
- Photograph consigned bottles and lots to auction-ready standards, capturing labels, capsules, fill levels, and any notable condition characteristics.
- Inspect and assess each bottle for condition, authenticity indicators, fill level, label integrity, and overall saleability.
- Assist the auction team with valuation by researching comparable sales, market pricing, and condition factors to support accurate estimates.
- Assist with lot creation, grouping and structuring consigned wines into well-described auction lots with precise condition notes.
- Assist with consignee communication, providing intake confirmations, condition findings, and status updates in a clear and professional manner.
Post-Sale Fulfillment & Buyer Support
- Assist with post-sale fulfillment, preparing sold lots for release, transfer, or shipment in accordance with company SOPs and wine shipping regulations.
- Assist with buyer communication, responding to inventory, condition, location, and delivery inquiries accurately and promptly.
- Coordinate the timely and accurate release of sold lots, ensuring each transaction is fully documented in WineOwners.
Team Support & Training
- Provide hands-on guidance and training to the Associate Wine Storage Specialist and Warehouse Associate on WineOwners workflows and best practices.
- Assign and prioritize daily pick, pack, and replenishment tasks for the floor team.
- Serve as acting floor supervisor in the absence of the Storage & Operations Manager.
What We’re Looking For
- Demonstrated experience in fine wine handling, inventory management, or auction operations, with genuine wine knowledge across major regions and producers.
- Meticulous, detail-driven approach to inventory accuracy and condition assessment. Proficiency with inventory management systems; experience with WineOwners is a strong advantage.
- Comfort with product photography and a careful, consistent eye for capturing condition. Strong written and verbal communication skills suited to professional consignee and buyer interactions.
- Ability to lift and move wine cases and to work on-site in a temperature-controlled warehouse environment.
Pay: $21.00 - $35.00 per hour
