Job Summary
We are seeking a highly adaptable, resourceful, and unflappable Executive Assistant to provide direct support to a fast-paced, high-demand CEO. This role requires exceptional organizational skills, discretion, and the ability to anticipate needs while managing priorities in a challenging and dynamic environment. Job Tasks and Responsibilities
- Prepare and edit correspondence, communications, presentations and other documents
- Design and maintain contact databases
- File and retrieve documents and reference materials
- Conduct research
- Act as a gatekeeper, screening calls, emails, and requests to ensure the Owner's time is focused on critical priorities.
- Oversee and manage the CEO’s complex calendar, ensuring seamless coordination of meetings, travel, and events.
- Monitor, screen, respond to and distribute incoming communications
- Answer and manage incoming calls
- Receive and interact with incoming visitors
- Liaise with internal staff at all levels
- Interact with external clients
- Project-based work
- Review operating practices and implement improvements where necessary
- Handle personal errands and tasks as requested
- Prepare agendas, briefings, and materials for meetings, ensuring the Owner is informed and prepared.
- Stay calm under pressure, resolving issues quickly and efficiently to keep operations running smoothly.
- Anticipate potential challenges and proactively present solutions to the Owner.
- Handle sensitive information with the utmost confidentiality and professionalism.
- Manage confidential documents, contracts, and records securely.

Education and Experience
- 3 years’ experience providing support at a high level
- Proficient computer skills and in-depth knowledge of relevant software such as MS Office Suite – excellent PowerPoint knowledge a must
- Knowledge of standard office administrative practices and procedures

Job Type: Full-time
Pay: $55,000.00 - $65,000.00 per year
