Job Summary
carafem is seeking a Virtual Visit Health Services Coordinator to support the operational, administrative, and virtual client care coordination aspects of client services. This role works closely with the Virtual Visit Manager of Health Services to help ensure smooth virtual clinic operations while maintaining compliance with healthcare regulations and carafem’s medical protocols.
The ideal candidate is organized, detail-oriented, and committed to providing respectful, client-centered care in a remote healthcare environment.
Responsibilities
Client Care & Virtual Clinical Support
- Perform virtual indirect client care and treatment procedures as directed by the Virtual Visit Manager of Health Services
- Perform client intake, education, and documentation in the client medical record
- Provide indirect client care and virtual clinical support as needed
- Assist clients, family members, and other visitors with concern, empathy, and professionalism while maintaining confidentiality and privacy
Administrative & Operational Duties
- Schedule appointments and maintain client records in electronic systems
- Process payments and maintain billing and financial transaction records
- Complete insurance forms and required documentation
- Key data into computer systems to maintain virtual office and client records
- Perform secretarial and administrative support tasks as needed
Compliance & Documentation
- Maintain compliance with carafem medical protocols and clinical policies
- Ensure compliance with applicable federal and state regulations, including CLIA, OSHA, HIPAA, CMS, and state department of public health requirements
- Maintain accurate medical, administrative, billing, and client records according to legal and organizational standards
- Document client care and service activities appropriately
Communication & Client Experience
- Provide courteous and respectful assistance to clients while maintaining confidentiality
- Communicate clearly and professionally with clients, families, visitors, and colleagues
- Address client questions or concerns professionally and escalate matters as appropriate
- Support a positive and responsive virtual client experience
Additional Responsibilities
- Participate in carafem/FemHealth USA community outreach activities as assigned
- Represent carafem professionally in the community
- Attend required annual trainings and in-service programs
- Perform other duties as assigned
Qualifications
- Associate’s degree or equivalent from a two-year college or technical school preferred
- Minimum two years of related experience and/or training preferred
- Experience in healthcare, virtual care, medical office administration, client services, or care coordination preferred
- Strong organizational and documentation skills with attention to detail
- Ability to manage multiple tasks in a fast-paced virtual healthcare setting
- Strong communication and interpersonal skills
- Ability to handle confidential information with professionalism
- Proficiency using computer software and electronic systems for scheduling, documentation, and recordkeeping
- Ability to work well in a team environment and collaborate with colleagues across departments
- Bilingual Spanish-speaking candidates are encouraged to apply

Physical Requirements
- Remote/work-from-home environment
- Requires reliable internet connection and a professional, distraction-free workspace
- Prolonged periods of sitting while working at a computer
- Frequent use of a computer, keyboard, mouse, headset, and telephone
- Ability to speak clearly and hear effectively during telephone and virtual conversations
- Ability to lift standard office equipment up to 10–15 pounds, if necessary
- Clear communication skills and visual acuity required

Compensation
- Pay range: $22.00–$23.00 per hour, based on experience
- Additional $1.00 per hour language differential for Spanish-speaking employees approved to provide bilingual support
