Job Summary
Severino Pasta Manufacturing Co., Inc. is seeking a detail-oriented Office Assistant & Data Entry team member to support our office and warehouse operations. This role handles data entry, invoicing, logistics coordination, prepares warehouse paperwork such as pull sheets and case labels, tracks inventory, and manages day-to-day office administration. The ideal candidate is organized, comfortable in a fast-paced environment, and has an interest in the food manufacturing industry.
Duties
- Compile data for processing and entering into databases such as QuickBooks and Microsoft Excel
- Write up invoices for various vendors
- Write up purchase orders and work closely with purchasing department
- Create pull sheets for warehouse staff to pick product for outbound shipments
- Complete paperwork for vendor order scheduling
- Update and correct invoices to match products being shipped
- Print case labels for warehouse staff to use in labeling pallets
- Gather all paperwork required for deliveries and pickups
- Correspond with vendors via email to ensure corrected invoices are provided for payment
- Assist with weekly inventory checks and update inventory data as needed
- Handle incoming calls and other office communications
- Schedule delivery and pickup appointments as needed
- Manage the office filing system
- Prepare and route paperwork needed by internal company locations
- Update and maintain documents, tracking sheets, and general word processing for the location
- Maintain office equipment as needed
Experience
- Previous office experience or administrative/clerical experience in a professional setting
- Proficiency with computer literacy including Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
- Familiarity with QuickBooks or similar bookkeeping software is preferred
- Strong organizational skills with the ability to multitask effectively in a fast-paced environment
- Excellent communication skills
- Adaptability, especially during training, and the ability to work well in an ever-changing environment
- Experience handling multi-line phone systems and front desk operations
- Demonstrated time management skills with the ability to prioritize tasks efficiently
Schedule:
Monday to Friday, 7:00 AM – 4:00 PM
Pay: $19.00 - $22.00 per hour
