We are a growing personal injury firm looking for a sharp, dependable professional to be the operational backbone of our practice: preparing the settlement demands that drive our recoveries, keeping our systems and office running smoothly, and helping us grow. This is not a narrow, sit-in-one-lane role. It is a high-trust, high-impact position with real room to advance as the firm grows.
What You'll Do
No two weeks are identical. Your responsibilities span four connected areas:
Settlement Demands (the core of the role)
- Review client files and medical records to determine when a case is ready to demand.
- Analyze medical bills, wage-loss documentation, and supporting evidence to help assess case value.
- Prepare persuasive settlement demand packages, including liability analysis, medical summaries, and damages calculations.
- Communicate with insurance adjusters, track negotiation status, and keep demands moving toward resolution.
- Coordinate with attorneys, clients, and medical providers to gather outstanding records and documentation.
Office & Operations
- Keep case files and documentation organized and up to date in our case management system.
- Support attorneys with day-to-day case needs and keep the office running smoothly (vendors, supplies, scheduling, general administrative support).
- Provide friendly, responsive support to clients by phone and email.
Technology & Systems (a real part of this job)
- Be our in-house troubleshooter for the software and systems we rely on daily: our case management platform, Microsoft 365, email, and the everyday tools that keep the firm moving. This is not full IT support, but you should be the person who can dig in, figure out what's wrong, and get it working again.
- Manage user accounts, settings, and integrations, and coordinate with outside IT or software vendors when an issue is beyond in-house scope.
- Help us get more out of the tools we already have, and evaluate new software that could make the firm run better.
- Build and maintain simple reports that show case progress, demand volume, and settlement results, and spot bottlenecks worth fixing.
Marketing Support
- Help keep our social media and online presence active and current.
- Assist with marketing projects and community outreach that help the firm grow.
Who We're Looking For
We know the ideal candidate for a role this broad is rare. If you are organized, quick to learn, and genuinely reliable, we want to hear from you even if you don't check every box.
- Experience: Two or more years in a personal injury or plaintiff's law firm, insurance claims, or a comparable legal or operations role. Experience preparing demand packages is a strong plus.
- Organized and detail-oriented: You can juggle many moving parts, hit deadlines, and keep nothing from slipping through the cracks.
- Strong communicator: Clear, professional writing and a comfortable phone presence with clients, adjusters, and providers.
- Strong with computers and software: This is important to us. You have a real background or aptitude with computer systems and business software, you learn new tools fast, and you are the person others turn to when something breaks. You will be our in-house troubleshooter (not our full IT department), so comfort digging into settings, accounts, and everyday tech problems matters. Solid Microsoft 365 and Excel skills.
- Self-starter: You take ownership, solve problems on your own, and treat confidential information with care.
Nice to Have (Not Required)
- Experience with legal case management software (Filevine, Litify, Needles, SmartAdvocate, or similar).
- Familiarity with reporting or dashboard tools, or comfort building reports and spreadsheets.
- Understanding of medical terminology and personal injury case valuation.
- Social media or marketing experience.
- Bilingual (English/Spanish).
Pay: $45,000.00 - $65,000.00 per year
