Job Overview
We are seeking a detail-oriented and proactive Office Assistant. The ideal candidate will possess strong organizational skills and the ability to manage multiple tasks efficiently. This role is essential in ensuring smooth office operations. The Office Assistant will be responsible for a variety of administrative tasks, including managing front desk, maintaining office records, entering payments made into excell and Quickbooks. Gathering information for accountant to do tax preperations. Coordinating contra tors to do repairs on rental houses. Receiving rental income and making deposits, recording rents, and sending evictions if needed.
Duties
- Greet visitors and manage front desk operations with professionalism and courtesy
- Answer and direct incoming calls ensuring excellent phone etiquette
- Perform data entry tasks accurately, maintaining up-to-date records in both physical and digital formats
- Assist with filing, organizing documents, and maintaining an orderly office environment
- Utilize Microsoft Office and Google Workspace for document creation, scheduling, and communication
- Provide customer support by addressing inquiries and resolving issues promptly
- Manage calendars for scheduling appointments and meetings effectively
- Perform bookkeeping tasks as needed, including invoicing and tracking expenses using QuickBooks
- Proofread documents for accuracy before distribution
- Collaborate with contractors to get the best service and repairs on rental houses
- Enter data for collection of information to present to accountant for taxt preporations
Qualifications
- Previous office experience is preferred; clerical experience is a plus
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace
- Strong computer literacy with the ability to learn new software quickly
- Excellent organizational skills with a keen attention to detail
- Effective time management skills to prioritize tasks efficiently
- Familiarity with calendar management and personal assistant duties is advantageous
- Strong typing skills with accuracy in data entry tasks
