The Patient Services / Checkout Coordinator – Medical Assistant is responsible for ensuring a smooth patient checkout experience while supporting clinic operations through scheduling coordination and medical assistant duties as needed. This position serves as the designated checkout representative for the clinic and plays a key role in patient communication, appointment coordination, continuity of care, and clinical support.
Essential Duties and Responsibilities
- Check out patients after provider visits and schedule follow-up appointments as needed.
- Coordinate and schedule appointments for primary care and specialty services.
- Answer incoming calls and assist patients with scheduling, rescheduling, and canceling appointments.
- Contact patients who miss appointments (no-shows) to assist with rescheduling and maintaining continuity of care.
- Verify appointment details and provide patients with instructions, referrals, or preparation information when applicable.
- Maintain accurate patient scheduling records within the electronic health record (EHR) system (NEXGEN).
- Communicate effectively with providers, medical assistants, referral coordinators, and front office staff regarding scheduling needs.
- Assist with managing provider schedules to maximize efficiency and patient access.
- Perform medical assistant duties as needed to support clinic operations, including rooming patients, obtaining vital signs, preparing exam rooms, documenting patient information, and assisting providers during patient visits.
- Assist with patient flow and provide coverage for clinical staff when necessary.
- Provide excellent customer service and maintain professionalism with patients, staff, and visitors.
- Ensure patient confidentiality and comply with HIPAA regulations and clinic policies.
Qualifications
- High school diploma or equivalent required.
- Medical Assistant certification or diploma required.
- Previous medical office, front desk, patient services, or scheduling experience preferred.
- Clinical medical assistant experience preferred.
- Strong communication and customer service skills.
- Ability to multitask and work in a fast-paced clinical environment.
- Familiarity with EHR systems and medical scheduling preferred.
- Bilingual skills are a plus.
