Under the direction of the Pastor, oversees assigned administrative, financial, liturgical and operations functions within the church and its facilities in an efficient and timely manner.
Duties and Responsibilities:
Administrative
- Manage the daily operation of the parish staff and office volunteers, including their duties, training and schedules.
- Manage the Parish databases (Parish Soft, FlockNote, etc.) including data entry of all new parishioners and their demographic data. Update records as needed and annually evaluate demographic data for accuracy.
- In coordination with the pastor or his representative, develop and document office policies, record-keeping methods, weekly, monthly and annual task lists, procedure manuals.
- Oversee parish communications such as bulletins, announcements, letters, newsletters, brochures, social media and parish website.
- Liaison with the Parish committees, DRE, music director and volunteers.
- Operate and maintain the Parish Religious Store
Financial
- Assist bookkeeper as needed to safeguard parish assets and ensure efficient Stewardship of parish resources including appropriate risk management
- Maintain accurate recordkeeping of Religious Items store, Annual Catholic Services Appeal, Special events and fundraisers.
- Maintain and safeguard all records, including parish register, membership database, equipment files and all personnel filles.
Liturgical
- Maintain and schedule all liturgical services as well as printed programs for special occasions
- Maintain lists of all volunteer ministers and their training – including all “Safe Environment” programs
- Ensure all worship spaces are ready for services
Operations
- Oversee maintenance, janitorial and volunteer staff
- Monitor parish safety/campus security policy and procedures.
- Maintain contact lists and be aware of all contracts for facility maintenance
- Maintain awareness of all technology systems:
o Phone
o Computer
o Internet Provider
o Alarm Systems
o Sound Systems
o HVAC controls
o Timed Lighting
o Data security and Backup
Knowledge and Skills
- Office Administration
- Computer skills including Microsoft word processing, publication software, and spreadsheet programs at a highly proficient level
- Working knowledge of Microsoft suite of programs
- Knowledge of data gathering techniques, research, record keeping and reporting
- Ability to communicate effectively both verbally and in writing
- Experience in working with and directing volunteers
- Knowledge of the liturgical components of ministry
- Bilingual (English/Spanish preferred)

Physical Requirements
- Position involves sitting, standing and/or walking
- Requires ability to occasionally exert up to 30 pounds of force to move objects

- Ability to express or exchange information by means of spoken word

Pay: $22.00 - $25.00 per hour
