The Marion County Building Industry Association is a professional not-for-profit trade organization serving the construction and building industry in Marion County. MCBIA supports its members through advocacy, education, industry events, networking opportunities, and community-focused initiatives that strengthen both the construction industry and the local community.
Position Summary
MCBIA is seeking a dependable, organized, and professional Administrative & Membership Assistant to support the Executive Officer and help keep the association running smoothly day to day.
This role is ideal for someone who enjoys being the first point of contact, keeping details organized, supporting members, assisting with events, and working in a small-office environment where every task matters. The right person will be friendly, proactive, accurate, and comfortable balancing administrative duties, member communication, office organization, and event support.
Key Responsibilities
Responsibilities include, but are not limited to:
- Answer incoming phone calls promptly and professionally, assist callers, take accurate messages, and direct inquiries to the appropriate person or organization.
- Greet visitors in a friendly, business-like manner and assist with questions, needs, or direction.
- Respond to general public inquiries or connect callers with the appropriate agency or resource.
- Maintain association membership records and the membership database.
- Process membership applications, assist with dues billing, and help prepare internal and external membership reports.
- Keep the reception area, common workspace, conference room, kitchen, and shared office areas neat, organized, and well supplied.
- Monitor office supply needs and order supplies as needed.
- Coordinate service or maintenance needs for office equipment when necessary.
- Assist with major association events, including membership meetings, golf events, Parade of Homes, and other MCBIA programs.
- Prepare materials for Board of Directors meetings, committee meetings, and other association needs as directed by the Executive Officer.
- Sort incoming mail and ensure outgoing mail is properly prepared, picked up, or delivered.
- Open, log, and stamp incoming checks; keep the Executive Officer informed of checks received; and prepare bank deposits for weekly deposit by the Executive Officer.
- Provide general administrative support and assist with other duties as assigned.
Qualifications
- High school diploma or GED required.
- Minimum of 1 year of administrative, office, customer service, or related experience preferred.
- Strong written and verbal communication skills.
- Professional phone etiquette and customer service skills.
- Strong attention to detail and ability to keep accurate records.
- Comfortable working with databases, email, documents, and basic office technology.
- Ability to stay organized, manage multiple tasks, and follow through on deadlines.
- Positive attitude, professional appearance, and willingness to support a small team.
- Experience with membership organizations, nonprofit associations, event support, or the construction/building industry is a plus, but not required.

Schedule
Full-time position. Occasional support may be needed for association meetings, events, or programs.
Work Location
This is an in-person position located in Ocala, Florida.
