General Summary
Under the supervision of the Chief District Court Judge or designee, performs a variety of tasks to assist in the processing of District Court cases. Assists attorneys, parties, and others by providing counter assistance and responding to telephone inquiries. Receives and reviews court documents, enters case information, and performs a variety of related tasks. Processes criminal, civil infraction, general civil, small claims, and such cases. Prepares legal documents and orders for court proceedings ad processes such orders after hearings. Provides supportive assistance to other court staff.
Essential Functions
1. Responds to inquiries at the counter and on the telephone, provides assistance to attorneys and the public regarding District Court procedures, fines and costs due, schedules, and specific case information.
2. Reviews and processes payment for tickets, court costs, civil filing fees, bond, and garnishments. Enters information to computer and ensures that proper case file is credited.
3. Assists litigants regarding District Court procedures on various types of cases and situations such as landlord tenant issues, small claims suits, general civil suits, garnishment procedure, criminal filing, and civil infraction cases.
4. Opens and processes District Court cases. Enters case information on computer. Records all pertinent case information. Prepares file folders and enters documents on computer. This includes preparing legal documents and orders, collecting fees and ensuring case scheduling and the service of process.
5. Reviews legal documents for timeliness, completeness, and compliance with court rules. Processes and enters judgments on District court cases that are adjudicated.
6. Drafts and updates legal forms for use by litigants and attorneys that meet the requirements of court rules.
7. Responds to questions from attorneys and the general public regarding court rules and procedures. Researches case activity for attorneys and others.
8. Closes files, ensuring that register of action is complete and the processing is completed as required by case type, includes ensuring judgment is entered, or processing dismissals and judgments. Notifies parties of disposition, makes certified copies as necessary, and files closed cases.
9. Reviews court files to determine readiness for arraignment, hearings, trials, default judgments, dismissals, and other court proceedings; includes checking for service and completeness of documentation.
10. Generates and reviews case management reports identifying those cases which may be dismissed for lack of progress or for non-service. As necessary, contacts attorneys, administrative aides, or parties to inquire about status of case. Processes appropriate notices to advise of forthcoming dismissal.
11. Balances cash drawer daily, maintains bond account records and performs related bookkeeping duties.
12. Maintains court files for all civil and criminal cases filed in District Court. Removes all non-public matter from file before viewing of file by attorneys and public sector ensuring file is returned intact.
13. Performs the duties of Judicial Assistant as required. Includes preparing courtroom for proceedings, includes checking operation of recording equipment, logging into recording system, importing days’ docket, ensuring sufficient supplies and readiness of case files. Transcribes dictation, drafts, types, and processes correspondence, orders, opinions, and other documents as requested by District Court Judge.
14. Processes walk in mail and fax requests from those needing civil and criminal background searches. Reviews and responds to record requests from individuals, companies, and military or federal personnel. Provides appropriate records based on requestor’s statutory authority to obtain such records including determining which requestor may have access to non-public information.
15. Serves as back-up for Judicial Assistant and Clerk of Court.
16. Other duties, as assigned.

Employment Qualifications
Education: High school graduation or equivalent with additional coursework in criminal justice, data processing, or related fields.
Experience: Two years of experience in a court, law office, or other legal setting, providing familiarity with legal terminology, processing of court cases, and data processing.
Other Requirements:
· Typing requirement: 50 wpm

Physical Requirements:
· Ability to access various files throughout the court.
· Ability to operate cash register, copy machine, and other office equipment.

· Ability to access Prosecutor’s office, other courts, County Clerk’s office, and other county offices.
· Ability to lift boxes weighing up to 20 lbs.
