Administrative Assistant
Location: Washington, DC metro area — on-site supporting WMATA bus program files and operations

Position Overview
We are hiring an Administrative Assistant to support an independent quality assurance oversight program for WMATA's bus rehabilitation process.
In this role, you'll provide day-to-day administrative and office management support to the program team, maintain vehicle program files within the Document Management System (DMS), and help keep inspection, reporting, and scheduling activities organized and on track.
Key Responsibilities
- Provide administrative support to the Project Manager and program team, including scheduling, correspondence, and file organization
- Maintain and organize vehicle program files using the Document Management System (DMS)
- Prepare, format, and proofread reports, correspondence, spreadsheets, and presentation materials
- Support the coordination and tracking of inspection reports, monthly summaries, and quarterly reporting inputs
- Organize and prioritize incoming requests, manage multiple deadlines, and handle competing responsibilities
- Maintain accurate records and databases related to the audit program
- Coordinate meeting logistics, including scheduling, materials preparation, and note-taking as needed
- Communicate professionally and effectively, in writing and verbally, with WMATA staff and program personnel
Required Qualifications
- Thorough knowledge of office management practices and procedures
- Strong written and oral communication skills
- Thorough knowledge of word processing, spreadsheet, and presentation software
- Working knowledge of Document Management Systems (DMS), particularly for documenting vehicle program files
- Excellent interpersonal skills
- Ability to organize, set priorities, manage workload, handle multiple responsibilities, and meet deadlines
- Highly proficient in keyboarding
- Minimum of 5 years of relevant administrative or office management experience
- Ability to pass a background check as required for access to customer property or information
Preferred Qualifications
- Knowledge of database software
- Prior administrative experience supporting a transit-agency or fleet program
