POSITION SUMMARY
The Dispatcher/ Delivery Supervisor is responsible for scheduling and coordinating all deliveries to ensure efficient routing, optimal fleet utilization, and on-time service to customers. This role oversees daily delivery operations, supports drivers, and collaborates with sales and operations teams to provide a high level of customer service. In addition, this position collaborates on leadership and administrative duties for lumber yard personnel, including workflow scheduling, warehouse management, time-off requests, and payroll administration. Regular and reliable attendance is an essential function of this position.
ESSENTIAL FUNCTIONS
Leadership & Personnel Management

Direct Supervision: Provide daily leadership, direction, and support to Drivers, Driver Helpers, and lumber yard personnel. Communicate clear expectations, schedules, and daily work assignments.

Performance Management: Monitor attendance and performance, provide ongoing feedback, and conduct formal reviews. Partner with the Senior Operations Manager to address behavioral concerns, complaints, operational needs, and pay changes in alignment with company policy.

Labor Scheduling & Admin: Manage the delivery and yard teams' labor schedules, coordinate warehouse workflows, approve time-off requests, and assist with payroll administration to ensure adequate coverage for peak periods.

Employee Advocacy: Act as a proactive advocate for the delivery and yard teams, responding to employee questions, needs, and concerns to maintain a high level of engagement and retention.
Operations & Customer Service

Logistics Planning: Coordinate and schedule daily deliveries to maximize fleet efficiency, minimize waste, and meet all customer commitments.

Communication & Support: Maintain routine, professional contact with salespeople, operations personnel, and customers via phone, email, text, and messaging systems regarding delivery status, updates, and logistics-related concerns.

Documentation & Inventory: Organize paperwork flow, maintain accurate documentation to support deliveries/returns, and direct the documented transfer of inventory between sites.

Systems Management: Maintain accurate, up-to-date information in DDS/DDMS and BisTrack; utilize systems to input orders, access and review inventory, and track customer history.
Safety & Compliance

Culture: Foster a culture of wellness, a safe working environment, and active alignment with company safety initiatives for the entire delivery and yard team.

DOT Oversight: Ensure all drivers comply with Federal and DOT regulations, including hours-of-service (60-hour rule), required physicals, drug/alcohol testing, and training.

Fleet Integrity: Oversee the thorough completion of vehicle inspections; ensure timely reporting, documentation, and resolution of maintenance issues.

Incident Management: Assist the Senior Operations Manager in investigating and thoroughly documenting all safety incidents, injuries, or operational accidents.
ADDITIONAL RESPONSIBILITIES

Support cross-functional operations and assist other departments as operational needs arise.

Contribute to continuous improvement efforts within dispatch, yard, and delivery operations.
EXPERIENCE / EDUCATION
-
High school diploma or GED/equivalent required.
-
Minimum of 5 years of customer service experience required; experience in the lumber or building materials industry highly preferred.

2 to 3 years of leadership, supervisory, or dispatch experience preferred.

Extensive familiarity with the layout of the Twin Cities metro area and surrounding regions.
KNOWLEDGE, SKILLS, & ABILITIES

Leadership: Proven ability to manage a diverse team with an emphasis on servant leadership and clear communication.

Industry Expertise: Working knowledge of DOT rules, building materials, and the construction delivery sequence.

Technical Proficiency: Skilled in Microsoft Office, Outlook, DDS, and BisTrack.

Judgment: Ability to work under pressure, prioritize tasks, and make sound decisions independently.

Commitment: Excellent attendance record and willingness to work extended hours when operational needs arise.
PHYSICAL ABILITIES & WORKING CONDITIONS

Ability to handle high levels of pressure and stress.

Stand/sit for extended periods of time with occasional lifting of 50 – 100 lbs.

Work occurs primarily in an office environment with occasional exposure to outside temperatures and manufacturing/yard conditions.
LICENSE / CERTIFICATION

Valid Driver’s License with an acceptable driving record.

Class A or B CDL preferred.
