Data Entry and Reporting Specialist
Position Overview
The Data and Report Specialist role maintains accurate, organized, business data across company systems, products, and customer accounts. This role supports database integrity, account setup and maintenance, product and pricing records, reporting, invoicing and payment processing, and administrative coordination. The ideal candidate is detail-oriented, mathematically inclined, and proactive in verifying data accuracy through careful review and thoughtful follow-up.
Job Summary/Purpose
The Data Entry & Reporting Specialist is responsible for performing accurate and timely data entry while providing comprehensive administrative support to the office. This role includes assisting with product pricing, supporting the management of national accounts, and collaborating with internal teams to ensure effective workflow and customer service. The position requires strong attention to detail, organizational skills, and the ability to manage multiple responsibilities in a fast-paced environment.
Key Responsibilities
· Maintain and update database records for products, product categories, customers, physical locations, delivery points of sale, equipment, and pricing information.
· Audit product, pricing, customer, and equipment data to ensure completeness, formatting consistency, accuracy, and alignment with internal standards.
· Verify customer, location, and delivery point-of-sale information to ensure records are accurate and ready for operational use.
· Perform routine audits and double-check entries before publishing, submitting, or sharing data with other teams.
· Coordinate with sales, customer service, operations, and pricing teams to gather missing information and confirm data accuracy.
· Follow established data entry procedures while also recommending process improvements when gaps or inefficiencies are identified.
· Prioritize workload independently, meet deadlines, and proactively communicate questions, issues, or needed corrections.
· Assist with administrative tasks related to account management, documentation, and workflow tracking, including order tracking and issue resolution.
· Enter product transfers and receipts into company systems.
· Build and maintain product catalogs for customers and internal use.
· Assist with creation of internal custom reports and dashboards.
Qualifications and Skills
· Process Improvement: Looks for ways to improve data quality, workflow efficiency, and reporting consistency.
· Communication: Works effectively with internal teams to collect, clarify, and update information and support account workflow.
· Problem Solving: Ability to identify patterns, spot discrepancies, and follow through until issues are resolved.
· Accuracy: Strong attention to detail and commitment to maintain clean, reliable records and minimize errors through careful review.
· Organization: Ability to manage multiple records, tasks, and deadlines in a structured manner. Documents updates to procedures and accounts.
· Task Initiation: Ability to self-start, stay organized, manage repetitive data tasks, and maintain momentum without supervision.
· Technical Proficiencies: Comfortable working with databases, spreadsheets, ERP systems, CRM systems, or similar data management tools. SQL/Snowflake/Power BI/Excel experience preferred.
· Account/Product Setup: Manages the lifecycle of customer accounts, products, and equipment from initial onboarding to offboarding.
· Reporting: Generates and prepares routine reports, summaries, and data exports as requested to support business decisions and operational needs.
Education and Experience
· Bachelor's degree in Business, Management Information Systems, Accounting, Supply Chain, Data Analytics, or a related field preferred.
· Two years of experience in data management, account administration, ERP/CRM systems, reporting, or a related business operations role preferred.
· Equivalent combination of education and relevant experience will be considered.

Wage/Salary: Range is $20.00 To $25.00 Per Hour
