Summary
The Senior On-Site Services Specialist provides comprehensive document production, mail services, copy and print support, and office operations within a professional legal environment. This role is responsible for delivering high-quality document services, supporting executive-level customers, coordinating mail and shipping activities, maintaining production equipment, and ensuring exceptional customer service while meeting strict deadlines and confidentiality requirements.
Responsibilities
- Operate high-volume copiers, printers, scanners, and document production equipment.
- Perform document copying, scanning, binding, finishing, file conversion, and quality control for legal and business documents.
- Prepare production materials, including binders, flash drives, and other deliverables according to customer specifications.
- Handle confidential and time-sensitive legal documents while maintaining accuracy and confidentiality.
- Process incoming and outgoing mail, packages, faxes, and shipping requests.
- Distribute mail, office supplies, and completed production jobs to designated locations.
- Perform basic maintenance and troubleshooting of copier and production equipment, including clearing paper jams and coordinating service requests.
- Maintain production logs, billing records, service logs, meter readings, and supply inventories.
- Support meeting and conference room setup, hospitality services, and light office support activities.
- Perform document filing, archiving, OCR processing, file formatting, FTP transfers, and document management activities.
- Coordinate off-site production projects with external vendors when required.
- Respond to customer inquiries regarding production requests, job status, and service needs.
- Deliver exceptional customer service while supporting legal professionals, executive-level staff, and other internal customers.
- Perform additional administrative and operational duties as assigned.
Requirements
- High school diploma or GED.
- 1–2 years of related experience in document production, print services, mail services, or office operations.
- Minimum of 2 years of experience in the legal industry is highly preferred.
- Experience operating high-volume copiers, printers, scanners, and document finishing equipment.
- Knowledge of shipping, receiving, mail processing, and document management procedures.
- Familiarity with document production workflows, file conversion, OCR, FTP, and advanced document handling is preferred.
- Basic knowledge of copier maintenance, troubleshooting, and office equipment operation.
- Strong customer service, interpersonal, and verbal communication skills.
- Excellent attention to detail with the ability to manage confidential and time-sensitive information.
- Strong organizational, problem-solving, and multitasking abilities.
- Ability to work independently and adapt to changing priorities in a fast-paced legal environment.
Pay: $20.00 - $22.00 per hour
