Early Intervention Case Manager & Staffing Coordinator
About the Role
We are seeking a highly organized, detail-oriented, and motivated Early Intervention Case Manager & Staffing Coordinator to join our growing team. This role is ideal for someone with experience in New York State Early Intervention who thrives in a fast-paced environment and enjoys balancing administrative responsibilities with provider relations.
The successful candidate will play a critical role in ensuring that children receive timely services while maintaining accurate records, supporting billing compliance, and coordinating provider staffing.
Key ResponsibilitiesCase Management
- Review and maintain all Early Intervention case files to ensure accuracy and completeness.
- Navigate and manage information in both EI Hub and ProviderSoft.
- Verify that all child demographics, authorizations, service information, and provider assignments are accurate.
- Enter and update authorizations promptly to ensure uninterrupted services.
- Monitor authorizations for expirations and renewals.
- Ensure documentation is complete and compliant for billing purposes.
- Identify and resolve discrepancies between EI Hub and ProviderSoft.
- Work closely with billing staff to prevent claim denials and delays.
- Track missing documentation and follow up with providers, service coordinators, and families as needed.
- Monitor evaluation timelines, IFSP implementation, and service start dates.
- Maintain organized electronic records and ensure compliance with New York State Early Intervention regulations.
- Assist with audits and quality assurance reviews.
- Communicate professionally with service coordinators, providers, and internal staff regarding case updates and authorizations.
Staffing Coordination
- Assign new Early Intervention cases to qualified providers in a timely manner.
- Recruit and maintain relationships with therapists and educators.
- Proactively reach out to providers to encourage them to accept new cases.
- Match providers based on location, availability, specialty, and language needs.
- Monitor provider caseloads and productivity.
- Maintain an updated provider database, including availability and credentials.
- Follow up on open cases to minimize delays in service delivery.
- Coordinate schedules between providers and families.
- Assist with onboarding new providers and ensuring all required documentation is completed.
- Collaborate with management to develop staffing strategies that improve provider retention and case coverage.
Qualifications
- Experience working in the New York State Early Intervention Program required.
- Working knowledge of EI Hub and ProviderSoft strongly preferred.
- Strong understanding of authorizations, IFSPs, billing requirements, and Early Intervention regulations.
- Exceptional organizational and multitasking skills.
- Excellent communication and relationship-building abilities.
- Strong attention to detail and problem-solving skills.
- Ability to prioritize multiple deadlines in a fast-paced environment.
- Proficiency with Microsoft Office, Google Workspace, and database management.
- Ability to work independently while collaborating effectively with a team.
Preferred Skills
- Experience with provider recruitment and staffing coordination.
- Knowledge of insurance and Early Intervention billing processes.
- Strong customer service and conflict-resolution skills.
