Job Summary
We are seeking a dynamic and detail-oriented Title Clerk/Administrative Assistant to join our team. This vital role combines administrative expertise with powersports/automotive industry knowledge to ensure smooth processing of vehicle titles, documentation, and customer interactions. Responsibilities
- Process sales paperwork, including title transfers, registrations, and lien documentation, ensuring accuracy and compliance with state regulations
- Manage the title processing workflow from initial paperwork to final submission, maintaining detailed records of all transactions
- Assist with inventory management by updating vehicle records and coordinating with sales teams on vehicle status and documentation needs
- Provide exceptional customer service by communicating clearly with clients regarding title status, paperwork requirements, and other inquiries
- Support sales management by maintaining the sales pipeline database, tracking leads, follow-ups, and closing activities
- Handle data entry tasks efficiently using Microsoft Office applications and dealership management software such as Lightspeed
- Perform administrative duties including phone etiquette, organization of files, cashiering responsibilities, and supporting retail sales activities
Requirements
- Proven experience in automotive repair shops or dealerships with familiarity in automotive sales paperwork processing and inventory control
- Strong organizational skills with the ability to manage multiple tasks simultaneously in a fast-paced environment
- Excellent communication skills; bilingual or multilingual abilities are a plus for client interaction
- Knowledge of state transportation regulations and title processing procedures
- Proficiency in Microsoft Office Suite (Word, Excel) and dealership management software such as CDK or similar platforms
- Previous experience in retail sales, customer service, or administrative roles is highly desirable
- Ability to handle high-end sales environments with professionalism and confidence in public speaking situations
- Attention to detail in data entry, accounting procedures, and retail math calculations
- Outbound sales experience or outside sales background is beneficial for client engagement efforts
- Strong phone etiquette and organizational skills to support daily operations effectively

Pay: $20.44 - $28.23 per hour
