About the Role
As Executive Assistant, you will serve as a trusted partner responsible for supporting the executive's day-to-day activities, managing schedules, coordinating travel, handling communications, and assisting with both professional and personal priorities. This role requires flexibility, strong judgment, exceptional organizational skills, and the ability to navigate changing priorities with minimal direction.
What You'll Do
- Manage and maintain a complex and ever-changing calendar
- Coordinate meetings, appointments, and travel arrangements
- Assist with personal and professional scheduling needs
- Screen, prioritize, and respond to communications as appropriate
- Track tasks, deadlines, projects, and follow-up items
- Coordinate transportation, lodging, and travel logistics
- Prepare reports, presentations, correspondence, and other documents
- Conduct research and gather information to support decision-making
- Manage confidential information with discretion and professionalism
- Serve as a liaison between the executive and internal/external stakeholders
- Anticipate needs and proactively address challenges before they arise
- Provide administrative and operational support as needed
- Handle special projects and additional responsibilities as assigned
What We're Looking For
- Prior Executive Assistant, Personal Assistant, Administrative, Project Coordination, or related experience preferred
- Manage the company's general inbox by responding to inquiries, prioritizing communications, and routing messages to the appropriate team members.
- Track assigned email inquiries and proactively follow up to ensure timely responses, resolution, and exceptional customer service.
- Strong organizational and time management skills
- Excellent verbal and written communication abilities
- Exceptional attention to detail and follow-through
- Ability to manage multiple priorities in a fast-paced environment
- Strong problem-solving and critical-thinking skills
- Professional demeanor and sound judgment
- High level of discretion and ability to maintain confidentiality
- Self-starter with a proactive, "get it done" mentality
- Ability to work independently with minimal supervision
- Flexibility to accommodate changing schedules and priorities
- Willingness to travel and commute as business needs require
- Proficiency with Microsoft Office, Google Workspace, and scheduling tools preferred
