POSITION SUMMARY
The Shipping and Receiving Office Clerk is responsible for coordinating and documenting the flow of product and materials into and out of the facility. This position works to verify incoming and outgoing shipments, maintains accurate records in the warehouse management system, and ensures shipping and receiving paperwork is complete, accurate, and properly filed. The role requires strong attention to detail, reliability, and the ability to communicate clearly with drivers, vendors, and internal teams.
ESSENTIAL DUTIES AND RESPONSIBILITIES

File paperwork such as Bills of Lading (BOLs), packing slips, and traceability documents.

Use the warehouse management system (WMS) to receive purchase orders and create inventory records for products received.

Process outbound shipments of product within the warehouse management system.

Communicate shipment delays or issues promptly to the Plant Manager and other affected departments.

Collect and organize paperwork from deliveries and pick-ups.

Verify incoming and outgoing shipments against purchase orders and sales orders for accuracy.

Work on the refrigerated shipping dock as needed to verify shipments against accompanying paperwork.

Process product returns in accordance with company Standard Operating Procedures (SOPs).

Maintain organized, up-to-date shipping and receiving files and records.

Provide courteous, professional customer service to drivers, vendors, and internal personnel.

Perform other shipping and receiving office duties as assigned by the Plant Manager.
QUALIFICATIONS

Highly detail oriented, with a strong focus on accuracy in documentation and data entry.

Punctual and reliable in attendance, including availability for scheduled Saturday morning work.

Strong customer service skills, with a professional and courteous manner.

Proficient with computers and general office software.

Experience with a warehouse management system (WMS) is a plus.

Ability to work on a refrigerated shipping dock, including exposure to cold temperatures, to verify shipments.

Strong organizational and time-management skills.

Ability to communicate clearly, both verbally and in writing.
WORK SCHEDULE
Monday through Friday, 7:00 AM to 4:00 PM. Saturday morning work is available for this position as needed.
WORKING CONDITIONS
Work is performed in a combination of office and refrigerated warehouse/dock environments. Regular exposure to cold temperatures should be expected when verifying shipments on the dock.
