Position Summary
We are seeking a highly organized and proactive Office Administrative Assistant to join our team. This position plays a key role in ensuring our daily operations run smoothly by providing administrative and clerical support to various departments. The ideal candidate will be detail-oriented, resourceful, and thrive in a collaborative, fast-paced environment.
Key Responsibilities
- Manage day-to-day administrative tasks including answering phones, scheduling meetings, and maintaining calendars
- Assist with onboarding and offboarding processes, including document preparation and coordinating equipment
- Maintain and organize digital and physical filing systems
- Order office supplies and coordinate shipping and receiving of packages
- Prepare and edit reports, presentations, and correspondence as requested
- Support the HR and Accounting with data entry, recordkeeping, and invoice processing
- Assist in planning and coordinating company events and meetings, both virtual and in-person
- Serve as a point of contact for internal staff and external vendors
- Monitor general office inboxes and route inquiries appropriately
- Ensure office space is organized and maintained (if on-site)
Qualifications
- 5+ years of administrative or office support experience
- Excellent verbal and written communication skills
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and collaboration tools like Microsoft Teams
- Strong organizational skills and attention to detail
- Ability to handle sensitive and confidential information with discretion
- Self-starter with a positive attitude and a willingness to take initiative and jump in where needed
- Must be able to juggle multiple tasks and meeting deadline.
- Demonstrates integrity, professionalism, accountability, and sound judgment.
- Self-motivated with a positive attitude, strong initiative, and the ability to work independently.
- Ability to take ownership of assigned projects, work with minimal supervision, and successfully complete projects on time.
- Must successfully pass a background check and professional reference check as a condition of employmen
Job Type: Full-time
Pay: $55,000.00 - $58,000.00 per year
