About Mindful Minds Psychiatry
Mindful Minds Psychiatry is a growing outpatient psychiatric practice dedicated to providing compassionate, evidence-based, and trauma-informed mental health care across Colorado. With locations in Parker, Colorado Springs, Denver, Westminster, and Boulder, we serve children, adolescents, adults, and older adults through both in-person and telehealth services.
At Mindful Minds Psychiatry, we believe every interaction matters. Our Patient Care Coordinators are often the first and last impression patients have of our practice. Position Overview
The Patient Care Coordinator plays a vital role in supporting both patients and providers. This position requires professionalism, attention to detail, strong communication skills, and the ability to maintain composure in a fast-paced healthcare environment.

Key ResponsibilitiesPatient Experience
- Welcome and check in patients with warmth, professionalism, and efficiency.
- Create a calm, organized, and welcoming environment for patients and visitors.
- Ensure all patient interactions reflect the values and standards of Mindful Minds Psychiatry.
- Address patient concerns professionally and appropriately escalate issues when needed.
Scheduling & Administrative Support
- Schedule, reschedule, and confirm patient appointments.
- Coordinate patient referrals and follow-up care.
- Maintain accurate patient records within the electronic medical record (EMR) system.
- Verify demographic and insurance information.
- Assist with prior authorizations, insurance verification, and administrative workflows.
- Support providers and leadership with daily operational tasks.
Communication
- Answer incoming phone calls professionally and efficiently.
- Respond to patient inquiries in a timely manner.
- Communicate clearly and respectfully with patients, providers, coworkers, and community partners.
- Maintain strict confidentiality and HIPAA compliance at all times.
Office Operations
- Maintain a clean, organized, and professional office environment.
- Assist with opening and closing office procedures.
- Ensure common areas, waiting rooms, and workspaces remain presentable throughout the day.
- Support operational efficiency and contribute to a team-oriented environment.
Schedule
Monday – Thursday: 7:45 AM – 4:45 PM (In Office)
Friday: 7:45 AM – 4:45 PM: Remote administrative support day. Providers typically work remotely on Fridays; however, operational needs may occasionally require in-office assistance.
QualificationsRequired
- Minimum 1 year of experience in a medical, behavioral health, or customer service setting.
- Strong organizational and multitasking abilities.
- Excellent verbal and written communication skills.
- High level of professionalism and emotional intelligence.
- Ability to manage confidential information with discretion.
- Strong attention to detail and accuracy.
Preferred
- Experience in psychiatry, behavioral health, or healthcare administration.
- Familiarity with EMR systems and medical scheduling.
- Understanding of insurance verification and healthcare workflows.
