Job Summary:
As our Executive Assistant, you will play a key role in keeping the business running smoothly by managing schedules, coordinating meetings and travel, facilitating communication, and ensuring that projects and meetings are well-organized and documented. You’ll work directly with company leadership and play a trusted, hands-on role in supporting operations and strategic initiatives while maintaining the highest standards of confidentiality and professionalism.
Duties/Responsibilities:
- Proactively anticipate executive needs to enable focus on strategic priorities and decision making.
- Coordinate, manage, and prioritize complex calendars, ensuring accurate scheduling of meetings, appointments, travel, and events.
- Prepare agendas, meeting materials, and detailed minutes; ensure timely follow-up on decisions and action items.
- Maintain systems to track, escalate, and follow through on outstanding tasks and priorities.
- Support special projects and initiatives through research, data analysis, and cross-functional coordination.
- Manage incoming communications, screening and prioritizing emails, phone calls, and other correspondence with discretion and efficiency.
- Draft, review, and send professional correspondence on behalf of executive leadership.
- Create and analyze spreadsheets to support reporting and decision-making.
- Design and edit high-quality PowerPoint presentations.
- Maintain organized and efficient office environments by ensuring executive offices, meeting rooms, workspaces, and common areas are tidy, functional, and professionally presented.
- Assist in planning and execution of company events, meetings, and offsites.
- Coordinate meeting logistics, including catering, technology setup, and venue arrangements.
- Provide full logistical and administrative support for Board of Advisors meetings, including agenda preparation, presentation development, minute-taking, and follow-up.
- Uphold the confidentiality of sensitive discussions, decisions, and company information.
- Offer general administrative support to company leadership as needed.
Required Skills/Abilities:
- Excellent written and verbal communication skills, with a proactive approach to follow-up.
- Highly organized with a strong attention to detail.
- Ability to maintain strict confidentiality.
- Proven ability to work independently and manage competing priorities.
- Excellent analytical and problem-solving skills required to make decisions and judgments.
- Ability to gather data, compile information, and generate reports.
- Advanced expertise in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
- Understanding of general math and accounting principles.
Education and Experience:
- Associate degree in related field required; bachelor’s degree in related field preferred.
- 5+ years of experience in an Executive Assistant or high-level administrative support role.
- Experience supporting multiple executives or a leadership team.
- Experience in planning and executing executive meetings, board functions, and events, including logistics, agendas, and follow-ups.
- Experience with project management, financial reconciliation, and contract administration.
Physical Requirements:
- Prolonged periods of sitting at a desk and working on a computer.
- Must be able to lift up to 15 pounds at times.
