We are a customer centric insurance agency looking to hire an energetic, smart and enthusiastic person to help with daily administrative support.
We are seeking a highly organized and personable Administrative Assistant to keep our insurance agency running smoothly. In this role, you will be the first point of contact for our clients, managing inbound communications, processing mailings, and providing crucial clerical support . The ideal candidate is detail-oriented, communicates professionally, and takes pride in delivering exceptional customer service.
Schedule is flexible. We will work with you to find a schedule that fits for the right candidate.
Key Responsibilities
- Front Desk & Phones: Answer incoming phone calls in a professional, welcoming manner. Direct calls to the appropriate person, take detailed messages, and assist clients with general inquiries.
- Client Communication: Return customer calls promptly and follow up on outstanding requests. Answer basic client questions regarding policies or direct them to appropriate staff when necessary.
- Clerical & Administration: Manage day-to-day office tasks, including data entry, filing, scanning, and maintaining organized physical and digital client records.
- Mailings & Correspondence: Process daily incoming mail and prepare outgoing correspondence, packages, and mass mailings.
- Agency Support: Schedule appointments, assist with processing paperwork, and provide general administrative help to the team.
Qualifications
- High school diploma or equivalent required.
- 1+ years of experience in an administrative, clerical, or customer service role (insurance industry experience is a plus).
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and ability to learn agency management software quickly.
- Strong verbal and written communication skills.
- Excellent organizational, multitasking, and time-management abilities.
