Job Summary
To manage assigned facility and provide support for virtual office locations
Key Responsibilities
1. To Evaluate Reports And Returns (Expenditure, Provisions Etc.) And Ensure Compliance And Closure
2. To Manage Customer Visits And Company/Employee Events
3. To Handle Admin Related Tasks At Base Location, Monitor All Audits, And Supervise Housekeeping Activities
Skill Requirements
Support meeting organizers with scheduling and coordination. Post signage as needed.
Work with day porters to ensure requirements are in place. Follow up to ensure correct policies and processes are followed. Maintain details of client meetings on an online tracker.
For large events, assist with placing catering orders and coordinate with Housekeeping team for setup / maintenance / cleanup duties.
Order, track, and maintain office supply and break room supplies. Provide receipts / proof of delivery and assist with related follow-up from invoicing team.
Share and collect Storage forms for materials kept in storage for other teams. Notify owners when expiration dates are approaching.
Generate shipping labels / communicate and coordinate with shippers. Provide assistance gathering / packing materials when needed.
Retrieve USPS mail, notify recipients, send scanned copies when needed.
Maintain online tracker for incoming materials, outgoing materials, and US mail.
Conduct daily walkthrough to inspect for any issues requiring assistance from landlord, Security, housekeeping, etc. Notify FM and/or landlord through ticketing system and/or direct email.
Assist with event coordination as needed, including outside events when necessary.
Support EA’s with requests for office space, catering orders, or other executive support.
Support employees with ad hoc requests / guidance.
Provide other general admin support and also assist Security and Housekeeping teams when required.
