Health First Urgent Care and Family Medicine, a well-established, privately owned practice that has proudly served Gilbert for over 15 years, is seeking a motivated, experienced, and dedicated Lead Medical Assistant / Back Office Supervisor to join our growing team.
This leadership role is ideal for an experienced Medical Assistant who is organized, detail-oriented, and passionate about supporting both patients and staff. The Lead Medical Assistant / Back Office Supervisor will oversee daily back-office operations while actively working alongside the clinical team. This is a working supervisor position, and the selected candidate will be expected to provide clinical coverage and assist with patient care as needed.

Responsibilities:
- Supervise and coordinate daily back-office activities to ensure seamless patient flow and efficient clinic operations.
- Lead, mentor, and support Medical Assistants in clinical duties including patient intake, vital signs, medication administration, and specimen collection.
- Oversee patient service workflows including scheduling, check-in/check-out processes, and accurate documentation within Electronic Health Record (EHR) systems.
- Ensure accurate and compliant documentation related to ICD coding, medical terminology, anatomy, and physiology to support proper diagnosis and billing.
- Assist with and support complex clinical procedures as needed, including X-ray imaging, urgent care interventions, and emergency medicine situations.
- Maintain high standards of patient care by monitoring staff performance and providing ongoing training, including BLS standards and both inpatient and outpatient care practices.
- Collaborate with physicians and healthcare team members to optimize workflow across urgent care and family medicine services.
- Manage and coordinate patient referrals, prior authorizations, and medical records requests.
- Prepare and process laboratory and imaging orders and assist with lab-related troubleshooting and follow-up.
- Communicate test results within Medical Assistant scope of practice and report abnormal findings per clinician protocol.
- Accurately document all patient interactions, communications, and clinical information in the medical record.
- Prepare and maintain exam rooms, supplies, and clinical equipment to ensure readiness for patient care.
- Serve as liaison with pharmaceutical and medical representatives.
- Assist the Office Manager with operational support, workflow improvements, and administrative coordination.
- Provide clinical coverage as needed, including filling in for staff absences, schedule gaps, and high-volume patient periods.
- Perform regular Medical Assistant duties while balancing supervisory and administrative responsibilities in a fast-paced clinical environment.
Qualifications
- High School Diploma or equivalent required.
- Proven experience as a Medical Assistant (minimum 2 years preferred).
- Current Basic Life Support (BLS) Certification required; additional certifications in emergency medicine or trauma care are a plus.
- Strong knowledge of medical terminology, anatomy, physiology, ICD coding, and medication administration.
- Hands-on experience with Electronic Health Record (EHR) systems and clinical administrative functions, including intake procedures and vital signs documentation.
- Leadership, supervisory, or team lead experience in a healthcare setting preferred.
- Experience in urgent care, family medicine, or other fast-paced clinical environments preferred.
- Familiarity with X-ray procedures or radiology support is highly desirable; hospital or Level I/II trauma center experience is a plus.
- Strong organizational, communication, and multitasking skills.
- Ability to work effectively in a fast-paced environment while maintaining accuracy, efficiency, and quality patient care.
