Job Overview
The position works closely with the Director of Compassion Ministries to ensure the food pantry and storage area run smoothly each day, coordinating efforts with team leaders and volunteers. The ideal candidate will possess strong organizational skills and a passion for community service.
Duties
In the Food Pantry Area:
- Keep shelves stocked: Ensure shelves always have food and monitor supplies to place orders that maintain a two-week stock.
- Restock meat freezer: Add boxes of bagged meat to the meat freezer once a week.
- Pack frozen meat boxes: Prepare frozen meat boxes every other week.
- Manage freezer stock: Keep food pantry freezers full, rotating items to use the oldest products first. Move stock from upper shelves to middle shelves as needed.
- Train volunteers: Clearly explain to all volunteers how to assist clients in the pantry, ensuring a friendly and courteous experience for everyone.
- Supervise volunteers: Oversee and coordinate volunteers who guide clients through the pantry.
- Dispose of boxes daily: Flatten and throw out large or small boxes at the end of the day—no boxes should be left overnight.
- End-of-day cleanup: Before closing, ensure everything is tidy—put carts away, remove trash, and keep the area free of clutter.
In the Food Storage Area:
- Manage inventory rotation: Organize food shipments to ensure stock is rotated regularly and stays fresh.
- Maintain adequate stock: Verify at the end of each day that sufficient food is available to serve at least 200 families. If stock is low, notify the Director of Compassion Ministries immediately to arrange for additional food orders or purchases.
- Monitor and maintain equipment: Check freezers and refrigerators daily for proper functioning, reporting any issues immediately. Keep all equipment clean and free of debris, performing a full cleaning once a month. Record refrigerator and freezer temperatures daily in the Temperature Log binder while the pantry is open.
- Coordinate volunteers: Organize Wednesday morning box-packing volunteers, communicate weekly with the Piqua Pantry Manager about box needs, and inform the Director of Compassion Ministries about delivery box requirements.
- Ensure supply readiness: Confirm all supplies for box packing are in stock, including bags, gloves, office supplies, and boxes. Report any shortages or equipment needs via email to the Director of Compassion Ministries.
Administration/Clerical:
- Volunteer Recruitment: Actively recruit volunteers and groups to support pantry operations, including Retail Rescue, Meijer order pickups, and CSFP distribution. Utilize personal networks, community outreach (e.g., posters, Facebook Ads), and in-house promotions to attract volunteers.
- Volunteer Training: Provide thorough training to all volunteers and ensure they are informed of any updates or procedural changes. Maintain open communication to keep everyone aligned.
- Community Group Coordination: Supervise and provide direction to community groups assisting in the pantry, such as United Way, summer camps, community service participants, and work-related volunteer teams.
- Daily Reporting: Ensure end-of-day reports are completed accurately, and verify that check-in cards align with computer entries in PantryTrak by running detailed reports.
- Volunteer Attendance Tracking: Remind all volunteers to sign in and out to maintain accurate attendance records.
- Food Drive Tracking: Monitor donations from monthly food drives, particularly the first weekend of each month, and maintain accurate records.
- Church Food Drive Coordination: Organize and support volunteers for the church’s monthly food drive. Continuously look for ways to enhance the volunteer experience by providing necessary equipment, labels, and support. Proactively seek opportunities for additional food drives and encourage participation from individuals or groups interested in organizing one.
- Resource Management: Ensure that forms, signs, and brochures are reordered with sufficient lead time (10–14 business days). Submit order requests via email to the Director of Compassion Ministries.

Skills Required:
- Able to lift and move up to 40 pounds
- Minimum of high school diploma, GED or working towards GED
- Willingness to learn our data programs.
- Microsoft Office knowledge, or a willingness to learn.
- Enjoys working with people and has a positive attitude and cheerful disposition.
- Ability to organize and keep accurate records.
- Strong people, customer service and team skills
- Works willingly and shows initiative in getting the job done
- Works well with unpaid servants and volunteers and respond positively to supervision
- Have valid driver’s license and insurance
Compensation:
- 24-28 hours per week, Monday through Thursday and every 2nd & 4th Fridays of the month, Mondays 4-8 pm, Tuesdays 10-5pm, Wednesdays 8:30- 12:30 pm, Thursdays 10-5pm and 2nd & 4th Fridays 9-1 pm; however, days and hours are subject to change upon needs of your position.
