The Procurement Program Assistant is a temporary, full-time summer position within the Procurement Department, providing hands-on support across a range of departmental functions including working with the enterprise asset management system, assisting with Procurement compliance requirements, supporting solicitation and contract management activities, and supporting departmental project work.
This role offers a developing supply chain or procurement professional the opportunity to gain practical experience in public-sector Procurement operations while contributing meaningfully to the department’s workflows. The Procurement Intern assists Procurement Department staff with routine transactional tasks, documentation and data entry, with an emphasis on special projects assigned by the Procurement Manager and Procurement Assistant Manager.
Responsibilities and Essential Functions:
Enterprise Asset Management System Support
- Review and process requisitions
- Review and process vendor data
- Enter and track departmental purchases
Insurance Compliance Support
- Review and process vendor insurance certificates
- Assist vendors with insurance requirements
- Ensure accurate tracking of certificates in multiple systems
Solicitation and Contract Management Support
- Assist with formal solicitation activities (e.g. posting notices, setting interviews, reference checks, etc.)
- Review solicitation files, data, forms, and certifications for completeness and accuracy
- Review and input contract and agreement data into tracking systems
Record Management and Special Projects
- Support development of organized, accessible file structures for departmental records
- Organize Procurement Department physical and digital records
- Download documents for solicitation files
- Other duties and projects as assigned by Procurement Manager and Procurement Assistance Manager

- Currently pursuing a bachelor’s degree in supply chain, procurement, business administration, or related field
- Completion of introductory business principles coursework
- Proficiency with Microsoft Office (Excel, Word, Outlook); SharePoint experience a plus
- Strong attention to detail and organizational skills
- Ability to handle confidential information with discretion
- Effective written and verbal communication skills
- Ability to work both independently and collaboratively in a team-oriented environment
- Ability to work on multiple concurrent tasks with periodic interruptions
