We are seeking a detail-oriented and proactive Administrative Assistant to support our team in a dynamic office environment. The ideal candidate will possess strong organizational skills and have a background in office management, customer service, and administrative tasks. This role requires proficiency in various software applications and the ability to manage multiple priorities effectively.
Responsibilities
- Provide front desk support, including greeting visitors and managing multi-line phone systems with excellent phone etiquette.
- Perform data entry, filing, and clerical duties to maintain organized records and documentation.
- Assist in calendar management, scheduling appointments.
- Utilize Microsoft Office and Google Workspace for document creation, spreadsheets, and presentations.
- Support bookkeeping tasks and maintain accurate financial records using QuickBooks.
- Handle customer inquiries with professionalism, providing exceptional customer support.
- Proofread documents for accuracy and clarity before distribution.
- Manage office supplies inventory and place orders as necessary to ensure smooth operations.
- Collaborate with team members on various administrative projects as needed.
Requirements
- Proven experience in an administrative role or similar position with a focus on office experience.
- Strong computer skills, including proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.
- Familiarity with QuickBooks for bookkeeping tasks,(One Year of Experience with Quick-books is necessary for inputting data, creating invoices, A/P, A/R, Reconciliation. Photography skills a plus.)
- Excellent organizational skills with the ability to manage time effectively and prioritize tasks.
