Job Summary:
We are looking for a highly organized, solutions-driven Dispatch & Fleet Coordinator to manage the scheduling and deployment of our construction material testing technicians alongside the day-to-day coordination of our field vehicle fleet. This role is the operational backbone of our field services division. You will ensure the right technician reaches the right site on time, in a properly maintained, road-ready truck, every day. This is a fast-paced work environment, where the candidate will work with a collaborative team consisting of directors, project managers, field technicians, and outside vendors
Duties:
- Coordinate daily and weekly field schedules for a team of materials testing technicians across multiple active project sites
- Receive and process service requests from project managers, contractors, and clients; assign technicians based on availability, certification, location, and scope
- Monitor real-time job progress, adjust schedules and relocate technicians/inspectors in response to delays, cancellations, or urgent requests
- Coordinate equipment availability and consumable supplies as part of dispatch activities
- Maintain accurate dispatch logs
- Assist administrative department on creating same-day work orders for technicians
- Actively communicate with admin staff and field technicians to ensure report deliveries and closing out of work orders
- Communicate job site requirements, access instructions, and safety protocols to technicians before deployment
- Proactively notify clients of any schedule changes or delays
- Monitor fleet availability and proactively swap vehicles to prevent scheduling disruptions when a truck is down for maintenance or repair
- Coordinate all scheduled and unscheduled maintenance of company vehicles
- Track and manage vehicle registration, insurance documentation across the entire fleet
- Serve as the first point of contact for breakdowns and roadside issues
Education/Qualifications:
- 2+ years of dispatch, scheduling, or operations coordination experience
- Construction industry preferred
- Strong command of multi-person, multi-site scheduling logistics
- Excellent verbal and written communication skills; able to manage competing priorities and urgent field situations calmly and decisively
- Proficiency with scheduling software, fleet management tools, spreadsheets, and work order systems
- Bilingual (English & Spanish) preferred
