Our top New York City client needs an experienced Executive administrative assistant to join their growing team. Our client, a well-established and highly respected commercial general contracting firm based in New York City, is seeking an exceptional Executive Assistant to support the President of the company. This is a high-impact, high-visibility role that requires a polished, proactive, and exceptionally organized professional who thrives in a fast-paced construction environment. What you will be doing
- Manage the President’s calendar with precision — scheduling meetings, site visits, client appointments, and travel with proactive prioritization
- Screen, prioritize, and manage incoming calls, emails, and correspondence on behalf of the President
- Prepare and organize meeting agendas, presentations, reports, and briefing materials
- Coordinate and arrange domestic and international travel including flights, accommodations, and itineraries
- Process expense reports and reconcile receipts in a timely and accurate manner.
- Serve as a liaison between the President and internal project teams, subcontractors, clients, and stakeholders
- Track project updates, deadlines, and deliverables — keeping the President informed and ahead of critical milestones
- Assist with the preparation, organization, and routing of contracts, proposals, and project documentation
- Support the coordination of client events, company meetings, and executive-level functions
- Maintain organized filing systems for contracts, correspondence, and executive records — both digital and physical
- Handle sensitive and confidential information with the utmost discretion and professionalism
- Assist with special projects and ad hoc requests as directed by the President
- Utilize Procore and other project management platforms to access and organize project-related information as needed
Credentials for the role
- Minimum 5+ years of experience as an Executive Assistant, preferably supporting C-suite leadership
- Experience in the construction, real estate, or related industry strongly preferred
- Exceptional organizational skills with the ability to manage multiple priorities simultaneously under pressure
- Outstanding written and verbal communication skills — you represent the President’s office in every interaction
- High proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) required
- Experience with Procore or similar construction management software is a strong plus
- Demonstrated ability to handle confidential information with complete discretion
- Proactive, solutions-oriented mindset — you anticipate needs before they arise
- Bachelor’s degree preferred
- Must be available to work in-office full-time in New York City
