Summary
As our Assistant Property Manager of an affordable housing community, you are primarily responsible for providing comprehensive support in all aspects of the community operations, including sales, leasing, unit readiness, budgeting and reporting, property management, rent collections, customer service, maintenance, and administrative responsibilities. You will ensure the smooth running of our community in a fast-paced environment.
Responsibilities of our Assistant Property Manager
- Achieve property occupancy and NOI goals.
- Required to work the 1 Saturday of every month to collect and post all rents received.
- Assists in regular audits consisting of a sampling of resident files to ensure compliance with the LURA and program documents, financing restrictions, LIHTC requirements, HUD regulations, TDHCA and MDSI regulations and TAA requirements.
- Responsible for ensuring compliance with reasonable accommodations, M/In’s and M/Out’s, recertifications, initial certifications, lease renewals, interims, denials, waitlists, etc.
- Assist in all required housing inspections and follow up with any citations and/or requests.
- Must ensure community maintains it’s compliance at all times.
- Collect all delinquent rent. Achieve under 2% delinquent rent each month.
- Maintain all accounts receivable including the collection of rent, posting rent via scanners, making deposits when applicable, and maintaining a balanced, accurate rent roll. Rent collection efforts include, but is not limited to, knocking on doors, calling residents, updating notes in our PMS system on status of delinquent residents, delivering Notice to Vacates for Non-Payment of Rent and rent reminders, processing all necessary paperwork in the filing of evictions and writs, and attending court hearings.
- Close out accounting and complete month end.
- Compose, prepare and deliver routine correspondence, rent reminder notices, and other letters or notifications as needed.
- Distribute all renewal letters and complete lease/renewal paperwork to ensure completion as per our guidelines.
- Inspect buildings, grounds, amenities, common areas, and units to ensure safety and cleanliness, and alert maintenance to items that need to be repaired or the Property Manager for potential liability issues or concerns.
- Responsible for leasing, entering traffic, marketing, maintenance, and general office administration and operations.
- Accurate and timely complete daily, weekly, and monthly reporting to the required agencies and financial and leasing reports.
- Assist in leasing and marketing.
- Driving consistency of operations as per our policies and procedures, institute best practices, ensure team adherence and identify and share ideas for improved systems, team productivity, etc.
- Provide amazing customer service to our future and current residents that will leave them ‘Surprised & Delighted’ each time they interact with our onsite team members.
- Provide additional support to the company and its other teams and communities as reasonably requested.
- Required to rotate on call 24/7 except during time off requests to handle after hour, emergency, and holiday calls. This includes during inclement weather.
Qualifications:
- Must be eligible to work in the U.S.
- Must have a valid Driver’s License.
- Must have reliable transportation.
- Working knowledge of HUD, LIHTC, TDHCA, TAA, low-income housing tax credit, tax exempt bond and other affordable housing programs a must.
- 3 years’ experience of affordable housing a must.
- Ability to thrive in a fast-paced environment.
- Minimum of 3+ years’ experience in the multifamily Assistant Manager position.
- Bi-lingual is a plus but not required.
Physical Demands

While performing the duties of this job, the employee may need to travel from floor to floor, climb stairs, and may be required to travel between buildings in varying outdoor weather conditions. The employee may also be regularly required to remain in a stationary position(s) 85% of the time; regularly using hands to operate office machinery and regularly required to walk, talk, and hear. Must be able to travel within 20 miles of the community. Travel may vary in frequency and duration.
Required Skills/Abilities
- Working knowledge of Yardi is a plus!
- Working knowledge of TDHCA’s portal and the ability to submit/report quarterly USR’s.
- Working knowledge of all Affordable Documents from IC to AR.
- Effective communication and customer service skills.
- Computer literate, including Microsoft Office Suite and internet navigation skills.
- General office, bookkeeping and sales skills and excellent oral and written communication skills.
- Determine leasing opportunities for the team and work on goal setting - improving the performance of day-to-day operations and collections.
- Work with our leasing team to ensure that leasing/marketing goals are being met.
- Be able to manage a team.
- Ability to work one weekend per month.
- Perform any other related duties as required or assigned.
Must have a reliable vehicle to perform various management tasks, property errands, commute to our BRM HQ as needed, and any other job-related travel. Must have proof of current liability insurance for the vehicle using as transportation.
