The Assistant Operations Coordinator supports daily operations by assisting the Manager with workforce coordination, administrative tasks, and client support. This role serves as a liaison between employees, management, and clients to ensure accurate documentation, timely communication, and quality service delivery. The Assistant Operations Coordinator also helps maintain operational standards by monitoring employee performance and addressing routine personnel matters.

- Collect, review, and organize employee timesheets to ensure accuracy before submitting them to clients and payroll.
- Maintain employee attendance records and follow up on missing or incomplete timesheets.
- Assist with employee onboarding and offboarding processes, including preparing and processing termination documentation.
- Conduct routine inspections and quality assurance rounds to verify janitorial services are completed according to company and client standards.
- Address employee questions and concerns regarding scheduling, attendance, workplace issues, and other personnel matters, escalating issues to the Manager when necessary.
- Maintain accurate employee records and operational documentation.
- Coordinate communication between employees, supervisors, and clients to ensure timely resolution of operational issues.
- Monitor staffing levels and assist with scheduling adjustments to meet client needs.
- Document inspections, employee performance concerns, and corrective actions as directed.
- Ensure compliance with company policies, safety procedures, and client expectations.
- Support the Supervisor with daily administrative duties, special projects, and operational reporting.
- High school diploma or equivalent required; associate degree preferred.
- Previous supervisory, administrative, or operations experience preferred.
- Strong organizational and time management skills.
- Excellent verbal and written communication skills.
- Proficient in Microsoft Office (Excel, Outlook, Word) and other office software.
- Ability to handle confidential employee information with professionalism.
- Strong problem-solving skills and the ability to manage multiple priorities in a fast-paced environment.
- Ability to work independently while supporting the Manager and operations team
